We're Quick Camps, a proudly Australian company specialising in manufacturing and hiring out mobile accommodation camps for industries across the nation (think mining, emergency services, oil & gas, and energy). We're all about customising our camps to suit our clients' needs, with everything from comfortable accommodation to kitchens, recreation areas, offices, and laundries.

Right now, we're experiencing major growth! We're on a journey to take our small WA-based team and make it a medium-sized business working all across Australia. This means we need fantastic people like you to join our crew.

ABOUT YOU

Are you ready to join our adventure? We're on the hunt for an Executive Assistant to the CEO who ticks these boxes:

  • Detail-Oriented and Organised: You're known for your meticulous approach and commitment to delivering high-quality work. Your ability to orchestrate tasks, schedules, and priorities with precision makes you the backbone of our operation.
  • Tech & Software Savvy: Microsoft Office is your playground and you love learning new software to make work smarter, not harder. You are comfortable with CRM such as Pipedrive and Collaboration tools such as Zoom, Teams or Slack. and love getting creative with Canva.
  • Communication Champion: Whether it's an email, a phone call, or a meeting, you're able to articulate yourself clearly, confidently, and professionally.
  • Proactive, Resourceful, and Solution-Oriented: You're a forward-thinker, always two steps ahead. Armed with resourcefulness and a knack for solving problems, you turn challenges into opportunities for growth.

You will likely have at least 3+years as an EA in a similar role and hold a bachelors degree.
 

Bonus if you have experience in:

  • A fast-paced start-up or company in expansion mode
  • A relevant industry such as Manufacturing, Commercial hire or Building trades
  • Project Management
  • Marketing & Sales
     

THE ROLE

This isn't just a job – it's a chance to really shape the future of our growing company! As EA to the CEO, you’re a central figure in our expansion, optimising our CEO’s time with your organisational prowess, can-do attitude and flare for communication. You’ll grow, as we grow, in a role which offers opportunities beyond the traditional scope of an EA.

Think daily tasks along these lines:

Calendar Management:

  • Schedule internal and external meetings, coordinating with multiple stakeholders and managing complex schedules.
  • Prepare agendas, meeting materials, and follow-up action items.
  • Travel bookings

Communication Gatekeeper:

  • Field and prioritise phone calls, emails, and other correspondence.
  • Draft, proofread, and format letters, memos, and reports.
  • Serve as a liaison between the CEO, internal teams, and external stakeholders.

Project Support:

  • Track progress on key initiatives, gathering updates and preparing status reports.
  • Conduct research, compile data, and create presentations for the CEO.
  • Assist with event planning and execution, as needed.

Administrative Excellence:

  • Manage expense reports and reimbursements.
  • Maintain organized filing systems, both digital and physical.

Special Projects:

  • Collaborate with the CEO on special projects, initiatives, compliance and strategic planning.
  • Support personal needs as necessary while maintaining a clear professional boundary.
  • Ad hoc internal Memo and Policy development critical to the organisation.
  • Work directly with the CEO to design and execute a strategic recognition framework for both employees and suppliers.
