About the role
The Executive Assistant is responsible for the provision of high level, confidential, executive, administrative and project support to the Director, Registry Services.
The Executive Assistant to the Director, Registry Services is a critical role in the Director's office, supporting the Director in the coordination of the portfolio operations and strategic work program, playing a key role in ensuring the efficient effective and collaborative operations of the Director's office.
The successful applicant will:
Provide high quality, confidential secretarial and administrative support to the Director, Registry Services, including but not limited to extensive diary, email inbox and meeting coordination, stakeholder liaison, management and preparation of correspondence that may be complex, maintenance of administrative support systems and procedures.
Manage incoming queries with limited direction including providing timely and accurate advice and taking follow up actions as required such as correctly redirecting incoming queries as required.
Identify and respond to opportunities to improve the efficiency and effectiveness of office processes and information systems for records management and work collegiately with peers across the court to maintain high standards of office administration.
Develop professional and collaborative relationships with peer and senior internal and external stakeholders, with a focus on understanding stakeholder needs and issues, and working towards their resolution.
Provide high quality administrative/project support for workshops, staff meetings, events and in-house communications as required, including the coordination and distribution of meeting papers and the preparation of meeting agendas and minutes.
About you
The qualifications/technical expertise required for the role are:
Demonstrated experience and record of achievement in providing high level confidential support to an Executive Officer, Director, or Senior Manager.
Advanced use of Microsoft packages including Word, Excel, PowerPoint, Office 365, Visio and collaboration software. Project management experience would also be an advantage.
A relevant qualification or equivalent experience in an operational office environment is desirable as is a working knowledge of the operation of courts.
