The Opportunity
Here at Findex we are currently looking for an Executive Manager to our Co-CEOs. This is an initial 6-12 month maternity leave cover, based in Melbourne and required to go into the Melbourne CBD office on Wednesdays.
This role is responsible for the provision of efficient, effective, and professional administrative support directly to the Co-CEO's, ensuring efficient functional operations and driving continuous improvement. This position will also provide support to the other staff within the Office of the Co-CEO's, as and when directed by the Co-CEO's
What will your typical week look like?
Your key responsibilities within this role will include:
- Coordinate and host diary meetings with the senior team and Co-CEO's, tabling and talking to invitations and requests and providing scheduling advice
- Coordinate all travel, accommodation and itineraries for the Co-CEO's.
- Prepare and collate speaking and meeting briefs for the Co-CEO's in consultation with the Senior Team
- Provision of high-level administrative support to the Co-CEO's including but not limited to; participating in the development of corporate and strategic objectives; supporting the Executive Management Team on assigned projects; preparing nonstandard reports, correspondence, and presentations for the Co-CEO's; and overseeing the implementation of decisions nominated by the Co-CEO's
- Facilitating the delivery of accurate and timely agenda and minutes including the coordination and management of the reporting actions as and when required.
- Assisting the Co-CEO's and Executive Management Team (EMT) with the delivery of accurate and timely circulate of narratives, meetings agendas and pre-reading at least 48 hours prior to the meeting.
- Managing all aspects of booking of venues, set up and catering requirements for all events related to the Co-CEO's, and assisting where required with events.
- Prepare and format reports and documents for internal and external use often within short time frames.
- Manage incoming calls, emails and correspondence, proactively determining significance and managing distribution

The successful person will possess the following skills, experience and attributes:
- Minimum 10 + years' relative experience providing executive support to C-Suite and/or Boards
- Demonstrate ability to communicate effectively to stakeholders.
- Knowledge of and capacity to efficiently use ICT and organisational systems.
- Proficiency in Microsoft Office including Outlook, Excel, Word and PowerPoint
- Highly developed skills in all interpersonal communication requirements at an executive level with a high attention to detail and accuracy.
- Highly developed organisational skills with the ability to manage time, work output and priorities and handle a range of tasks with competing priorities within tight timelines.
- Demonstrated ability to work within a team environment and autonomously.
- Demonstrated ability to effectively deal with sensitive, political and confidential duties.
- Demonstrated ability to effectively research and analyse information.
- Experience in a similar role involving the facilitation of minutes and agendas and provision of high-level support to staff at an executive level
