The Executive Officer is responsible for the provision of high quality, professional and confidential executive level support to the Assistant Commissioner and regional office, through the coordination, management and delivery of a wide range of executive and administrative services, including correspondence, reporting, diary and calendar management, event coordination, complaints and awards, broad ranging project activities and supervision of other executive support staff.
The role leads the executive support stream and has a strategic focus, undertaking research, providing written correspondence, advice and recommendations regarding policies and procedures, and implementing business improvement initiatives and governance processes to support the efficient and effective operation of the regional office.

- Provide a high standard of executive support services including research and the coordination and provision of timely and accurate advice on QAS policy and issues relevant to business units within the region and other executives and senior staff of the QAS and the Department of Health.
- Coordinate the effective and timely dissemination of correspondence received by the regional office; determine priorities and actions required and research and prepare appropriate responses as necessary.
- Coordinate all internal and external reporting requirements assigned to the Assistant Commissioner, ensuring timeframes are strictly adhered to and significant issues are identified and escalated for action as required.
- Ensure the accuracy of information and timeliness of executive correspondence and reports emanating from the regional office.
- Ensure compliance by checking that all correspondence and documentation is produced in accordance with departmental administrative standards and timeframes, and by providing timely advice, regular training and guidance to relevant stakeholders.
- Research and prepare documentation, ensuring that the security and confidentiality of documentation is maintained appropriately.
- Coordinate the preparation of meeting agendas and action sheets, record meeting minutes and distribute and follow up as required.
- Schedule and plan meetings, forums and events both internally and externally, including ministerial visits, station openings and award ceremonies; book appropriate venues; make necessary travel arrangements; and arrange catering as required.
- Manage the maintenance, reporting and currency of the region's databases and information management systems as necessary, and maintain all of the region's registers including the Ambulance Management Plans, Court Appearances and Gifts and Donations.
- Maintain effective liaison with senior departmental officers and other key contacts, including Office of the Commissioner, Office of the Director-General, Office of the Minister for Health and the Department of Health, as well as external stakeholders, to ensure ready and reliable access to information on issues and initiatives.
- Monitor ongoing investigations and provide internal follow-up of confidential and sensitive grievances and complaints; including the coordination of mediation meetings.
- Liaise with Local Ambulance Committees (LACs) and First Responder Groups and maintain all LAC budgets and audited financial statements.
- Coordinate the processing of all honours and awards for region's operational officers, in line with QAS policy.
- Manage all public enquiries received by the regional office and ensure appropriate responses are provided in a timely manner.
- Plan and implement strategies to improve business processes within the regional office, in consultation with relevant managers.
- Represent the QAS and the Assistant Commissioner on committees/forums/working parties as required.
- Manage various projects and activities assigned by the Assistant Commissioner.
- As a leader, actively demonstrate and promote the QAS's approach of zero tolerance towards violence and commit to supporting those affected by domestic and family violence in accordance with QAS policies and mechanisms.
- Model and influence a workplace culture of gender equality, respectful relationships, diversity, inclusion, employee safety and support.
- Fulfil the responsibilities of this role in accordance with Queensland Public Service and QAS values.
