This role sits within the Corporate Services Portfolio in the university.
Role:
The Executive Officer forms a part of the executive support team within the portfolio's Professional Services Hub and takes an active role in managing administrative and project support. The role is supporting two executives and operates as a community of practice across the Hub and wider university. The role often deals with highly confidential and time-sensitive matters and the incumbent will be adept at re-prioritising and triaging tasks.
Responsibilities:
- Provide confidential administrative support to the executives.
- Proactive diary management, liaises with all internal and external stakeholders to arrange meetings.
- Travel arrangements, arranging documents and bookings.
- Credit card reconciliation, invoicing, purchase orders.
- Meeting preparation such as agendas and minutes.
- Proof reading reports and documents.
- Booking facilities and/or venues.
- Preparing agendas and related documentation.
- Coordinating all documents and forms that require the authority of the Director.
Experience and skills:
- Previous experience as an Executive Officer or Executive Assistant.
- Experience working in a tertiary environment (preferable).
- High level of computer literacy and advanced user knowledge of Outlook and the Microsoft Office Suite.
- Flexible attitude and capacity to work quickly to problem solve and manage priorities in a high demand environment.
- Proven ability to act with discretion and sensitivity and maintain confidentiality.
- Well-developed verbal and written communication skills and experience communicating and working with a range of stakeholders.
- Proven ability to act with discretion and sensitivity and maintain confidentiality.
- Experience in supporting Boards and Committees including the preparation of agendas, board papers and meeting minutes (preferable).
