The Company
Based in the corporate head office, there is an exciting opportunity for a highly experienced Executive Assistant to support the COO in a reputable NFP organisation that really looks after their employees. The company is based in the CBD/East Melbourne that have lovely modern offices which makes coming into work a little easier... with some flexibility for you to work from the comfort of your own home too!
The Role
The role is a varied one that requires you to be agile and efficient. Your main responsibility will be to provide strategic executive support to the COO to ensure they use their time effectively. You will provide optimal coordination and communication across the executive and senior leadership team as well as other staff and key stakeholders, maintaining discretion at all times.
Working with a high level of organisation and time management, your day to day responsibilities will include:
- Extensive and complex diary management
- Coordinate schedules and appointments
- Book travel, accommodation and logistics
- Triage incoming correspondence, calls and enquiries and escalate as appropriate
- Prepare meeting materials, agendas and minutes
- Coordinate internal and external events, fundraisers and activities
- Liaise with internal and external stakeholders
- Document management and archiving
- Prepare reports, excel spreadsheets and presentations
- Perform necessary adhoc duties on behalf of the COO
What you will need to succeed?
- Proven experience in an Executive Assistant position supporting a C-Suite Executive within a complex commercial organisation
- Excellent time management skills with a strong attention to detail
- Ability to be agile and work well under pressure
- Strong interpersonal and communication skills
- Advanced Microsoft Office skills including PowerPoint
- Confident yet discrete demeanor and ability to liaise with stakeholders and build trusting relationships quickly
- Strong leadership qualities and results driven
- A professional, mature and conservative approach
