The Executive Support Officer provides a high quality,professional and responsive administrative support service to theChief Services Officer, and contributes to the Office of the UnderTreasurer achieving its business objectives.
Job Summary:
- Providing high level executive and administrative support by working closely with the Principal Executive Officer and Business Manager on day-to-day matters and attending to any urgent matters or enquiries, ensuring resolution and quality control.
- Managing incoming and outgoing correspondence for the Office of the Under Treasurer, and contributing to the effective and efficient flow of information and communication between the Treasurer’s Office and the Department.
- Arranging regional, interstate, and international travel and accommodation on behalf of the Chief Services Officer, including coordination of itineraries as required.
- Assisting with managing the Chief Services Officer’s functions, including liaising with key personnel as required.
- Managing bookings and room set up for Chief Services Officer’s meetings, including scheduling and organising meetings as necessary.
- Delivering a range of administrative functions within the Office of the Under Treasurer and maintaining accurate and up to date contact information and records management system functions (including, but not limited to, purchase card reconciliation, Basware, stationery purchasing and printing).
- Working as part of a multi-skilled team; backfilling other Executive Support roles as required.
- Assisting with the continuous improvement of administrative processes in the Office of the Under Treasurer through continually reviewing, developing, and implementing new systems and procedures and making recommendations.
About you:
- Proven ability to communicate clearly, develop and maintain sound working relationships with staff and stakeholders at all levels, including with other agencies and the private sector, while maintaining confidentiality in dealing with issues of a sensitive or personal nature.
- Possess excellent administrative and organisational skills and an approach to work which emphasises accuracy and thoroughness.
- Ability to determine priorities, organise workloads, use sound judgement and set priorities to achieve business objectives and tight timeframes, particularly working under pressure.
- Ability to analyse problems, and formulate and implement appropriate and practical solutions.
- Proven ability to work autonomously and collaboratively within a team environment, and contribute to and encourage a culture of teamwork with a shared responsibility for achieving results.
- Proven ability to be flexible and adaptable in order to meet deadlines.
Remuneration:
ASO4 - $75,430 - $97,070 per annum.
