We are currently seeking a dynamic and proactive Executive Support Officer (ASO4 Level) to join our team. The successful candidate will be expected to hit the ground running, with experience in Objective Records Management System and providing Executive Support to senior managers. This role is crucial in facilitating the smooth operation of various administrative tasks, including coordinating ministerial correspondence, managing electronic records, and providing executive assistance to key stakeholders.
Key Responsibilities:
- Coordinate all ministerial correspondence managed and work flowed through the Objective system (Electronic Records Management System).
- Manage complaints coordination with proficiency in Microsoft Excel.
- Coordinate Parliamentary Briefing correspondence.
- Coordinate Commissioner Correspondence.
- Conduct research and handle ad hoc requests efficiently.
- Arrange travel and accommodation for executives.
- Manage reporting expectations effectively.
- Handle diary management for senior managers.
- Take minutes for internal meetings.
- Experience in State Government operations preferred.
- Proficiency in Microsoft Excel is essential.
- Familiarity with Objective Records Management System is desirable.
- Excellent time management skills and ability to manage varied workloads and timeframes.
- Resilience to change and adaptability in a fast-paced environment.
- Strong verbal communication skills, with the ability to liaise effectively with staff at various levels.
- Office-based position, averaging 37.5 hours per week.
- Immediate start required for a 2-3 month assignment, with the possibility of transitioning to an ongoing role.
- Current police clearance will be required.
- One-on-one training and handover provided by the outgoing employee.
