Job Description:
We are seeking a dynamic and detail-oriented Export Logistics Assistant to join our team. The ideal candidate will be responsible for providing comprehensive administrative and logistical support to ensure the efficient export of our products. From coordinating shipments to supporting customer inquiries, this role plays a crucial part in our export operations.
Key Responsibilities:
Admin Support:
- Process load instructions, book transports, and arrange flights for timely shipment of goods.
- Ensure accurate documentation and compliance with export regulations.
- Coordination:
- Collaborate with various departments to organize mixed shipments, prepare quotes, and execute promotional export programs.
- Facilitate communication and coordination between internal teams and external partners.
Documentation:
- Assist in the preparation and distribution of sales-related documents such as proposals, contracts, and presentations.
- Ensure timely receipt of export documents from third parties and manage complete custom clearance documentation.
Customer Support:
- Provide prompt assistance to customers regarding inquiries, orders, and issues.
- Coordinate third-party inspections, compile photos, and monitor shipment timelines to ensure customer satisfaction.
Sales Support:
- Support export sales activities during grower trips and periods of staff annual leave.
- Maintain export programs, monitor market updates, and communicate any changes to customers.
- Work proactively with logistics partners to secure allocations and optimize shipment schedules.
Miscellaneous Tasks:
- Handle ad-hoc tasks and new projects as assigned.
- Assist in sorting produce, conducting stock checks at airports/farms, and supporting the cultivation of various product lines (mangoes, cherries, grapes, citrus, etc.).
- Perform day-to-day operational tasks as needed.
Qualifications:
- Previous experience in Export Logistics, administration, or related fields is preferred.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office Suite and experience with logistics software is a plus.
- Ability to work effectively in a fast-paced environment and adapt to changing priorities.
- Attention to detail and a commitment to delivering high-quality results.
- Forklift License is required.
