Are you looking to elevate your career in facility management and play a crucial role in supporting innovative science? CSIRO's Australian Centre for Disease Preparedness (ACDP) in Geelong is seeking a skilled Facility Services - Contracts, Purchasing & Administration Officer to join our team.
This vital position provides essential support to our Facilities Services team, focusing on the management of facilities services and various administrative functions as part of the broader CSIRO Business Infrastructure Services (CBIS) team. You will leverage your extensive knowledge in procurement and contract management to oversee and coordinate service contracts, particularly those related to asset maintenance and facilities management. Your work will directly contribute to the ongoing preparedness and success of our research initiatives.
Please note, the appointee must be able to meet ACDP's Microbiological Security and Security Clearance requirements.
- CBIS Training Management Support the facilitation CBIS ACDP's implementation of CSIRO's Finance and Procurement Enterprise Solutions
- Contribute to the development of contract/contractor management and compliance services to ensure preventative maintenance works and are compliant with regulatory and contract requirements while minimising risk.
- Support the Compliance & Services team in developing systems, processes and procedures to improve contract management and compliance across the CBIS ACDP team.
- Undertake activities to assess vendors and financial data to determine service categories that require a procurement process and a CSIRO Contract.
- Undertake procurement and contracting processes for Request for Quote and Panel Procurements in consultation with the Contracts and Compliance team and in accordance with the Commonwealth Procurement Rules and CSIRO Policy.
- Leverage and influence internal and external stakeholder relationships to engage the ACDP team in their contract lifecycle management responsibilities and compliance management by way of effective communication, education, negotiation and issues management.
- Ensure consistent approach is maintained across all sites to site security, including policy and process control for management, maintenance and issue of keys; access cards; ID cards; and related staff, visitor and contractor registers.

To be considered you will need:- Working knowledge of procurement rules & processes, including arranging internal or external service providers, approvals, preparation and coordination of services contracts, technical details and the associated evaluation documents.
- Demonstrated ability to work under general direction, accept responsibility and be accountable for procurement and contracting activities to ensure effective delivery of hard and soft services in accordance with relevant time, cost, quality, statutory and user satisfaction requirements.
- Proven knowledge in procurement and contract management in an asset maintenance context across facilities or similar field in services procurement contract management.
- Effective interpersonal skills including sound negotiation and written and oral communication skills and an ability to cultivate productive working relationships with internal and external stakeholders, and service providers.
Desirable:
- Demonstrated excellence in verbal and written communication within a customer service environment.
- Effective interpersonal skills with a demonstrated ability to develop, maintain and nurture internal relationships on behalf of the department
- Strong organisational skills with ability to meet deadlines while managing competing priorities.
- Adaptability to a changing work environment, systems and processes with commitment to continually building skills and knowledge.
- High level proficiency with Microsoft Office suite and Adobe Pro DC.
- Certificate IV in procurement and contracting for a public officer.
- Demonstrated experience in the use of a Computerised Maintenance Management System (CMMS) or equivalent for Work Order management and Procurement.
