Our client is a passionate, family-owned, private Speech Therapy practice dedicated to providing quality family centred therapy to their clients. The team of experienced therapists and administration staff pride themselves on providing the highest quality of care, expertise and support to create an amazing experience for their clients. 

Our client offers specialised support in Speech Pathology, Orofacial Myology, and Music Therapy across clients from infants to adults, including those in aged care. With services assisting a wide spectrum of challenges, including speech and language development, feeding difficulties, learning disorders, fluency issues, and mental health concerns, our client is focused on achieving meaningful outcomes through inclusive collaboration and fostering a supportive environment where everyone feels valued and empowered.

Our client is seeking a Full Time skilledAdministration Team Leader with excellent people skills to join their growing team. The client is looking for a like-minded, positive, energetic and dynamic individual to take on the administration leadership within the team ensuring delivery of exceptional service for their clients.

About the Role

Reporting to the Clinic Director this role will oversee the day to day management of the Administration Team and contribute to the overall leadership of the practice. 

Key responsibilities will include:

  • Lead, inspire and mentor the Administration Team to perform at their highest level.
  • Oversee the daily administration tasks including scheduling, billing, and client intake, to maintain a smooth and organised operation.
  • Rostering of the Administration Team to meet operational requirements.
  • Update and maintain all practice management and IT systems information seeking out improvements where possible.
  • Implementation of new policies, processes and procedures relevant to the Administration Team and wider business.
  • Produce monthly KPI reports to assist with ongoing business strategy.
  • Provide training, guidance, and support to team members to enhance their skills and performance including having the difficult conversations when required. 
  • Ensure compliance with relevant laws, regulations and company policies. For example: Medicare, NDIS, private health, provider numbers and all other business compliance requirements.
  • Identify opportunities to improve, develop or streamline our administration services with emphasis on improving the client experience.
  • When required, provide support to the team to assist patients to book, reschedule and cancel appointments, complete all relevant paperwork and understand clinic policies.
  • Actively build relationships with referring GPs, specialists and other allied health professionals. 
  • Provide general PA support to the Clinic Director as required 

This is a Full Time position with remuneration commensurate with your qualifications, skills and experience and available for immediate start.

About You

Our client is a longstanding local small business serving the wider community and the ideal candidate will have previous experience managing all aspects of a busy Administration Team. Candidates with previous experience in an Allied Health practice or similar environment will be highly regarded. 

You will be a friendly, organised, and personable individual with a passion for people and someone who has a flair for communication. You will enjoy making a difference for both clients and staff and have excellent verbal and written communication skills. 

The successful candidate needs to possess exceptional organisation skills and a high attention to detail. You will have excellent IT skills, and ideally have experience using practice management software (however training will be provided) and experience using Google workspace. 

You will be a caring and professional individual with a strong work ethic, enjoy taking initiative in all you do, have excellent follow through and the ability to multitask in a fast-paced work environment. 

The Musts
  • Previous experience leading and managing a team, ideally in an allied health practice, or similar 
  • Possess a high level of communication and interpersonal skills
  • Excellent attention to detail with strong organisational & multitasking skills 
  • Adaptable and proactive with the ability to adapt to a fast-paced environment
  • A passion for contributing to a great workplace culture
  • Excellent knowledge dealing with various computer systems (Google Workspace) & experience with practice management software will be highly regarded.
  • Hold a Working with Children's Check, Police Check, (or willing to obtain) and unrestricted Drivers Licence
