ABOUT THE SECTION
The Facilities & Office Services section supports the Branch and Finance leaders in planning, acquiring and delivering property and office services to meet the needs of Finance. It does this through lease management, maintenance, fit-outs, accommodation management (divisional seating allocation), environmental performance reporting, procurement and contract management, mail and courier services, secure waste management, vehicle leasing, parking permits, Concierge Services, office supplies, emergency management co-ordination, business continuity planning co-ordination and travel services. We partner with business to deliver a broad spectrum of services for the operational and strategic management of the building environment and office services. We strive to ensure the health, wellbeing and productivity of the Finance workforce through the provision of property and office services.
Our key priority is the provision of flexible, fit for purpose, safe and compliant property assets and supporting office services to the department to enable business areas to achieve their strategic priorities and operational objectives.
ABOUT THE OPPORTUNITY
APS4 Facilities and Concierge Officer
The APS4 Facilities and Concierge Office is responsible for;
- Analysing and managing bookings requests for corporate conference rooms including, scheduling, calendar administration, shared mailbox administration and capturing utilisation data.
- Liaising with stakeholders across Finance to ensure that their requirements, as detailed in the Conference Room booking request, are able to be satisfied and working with them to ensure a satisfactory outcome when they are not.
- Assisting with management of the setup/pack downs for the corporate conference Facilities and special events. This involves a large degree of manual handling and moving of furniture on a regular basis.
- Analysing, monitoring and managing jobs in the automated job submission portal (ASM).
- Assisting Office Services team with Carpark Inbox management and other areas of responsibility as required.
- Undertaking regular building maintenance checks and maintaining building maintenance logs and draft reports for senior management including periodic block and stack reviews.
- Working with external contractors to ensure they have the correct information and complete all requests to a high standard.
- Developing and maintaining strong working relationships with a range of stakeholders to deliver business objectives.
- Providing quality support for departmental stakeholders and staff.
