Job description

Prompcorp is a leading Australian Facilities Services business incorporating a full suite of Asset and Facility Management functions. Our business operates at a National level across both Australia and New Zealand. Due to the rapid growth of the business, Prompcorp has an opportunity for an experienced Facilities Co-Ordinator to join our dynamic team based at Rydalmere, NSW.

Reporting to the Head of Soft Services, the Facilities Co-Ordinator will be responsible for the operational management and daily coordination of site activity to ensure the compliant and satisfactory delivery of services for one of our premier clients. 

Key Accountabilities:

Facilities Management

  • Point of contact for all contractors and visitors to the site.
  • Meet and greet all staff, visitors, contractors, training apprentices
  • Ensure all rooms are neat and tidy
  • Ensure reception area and show room are kept immaculate
  • Ensure visitor check in is completed for all external visitors coming on site.
  • Lead and manage the delivery of property related services, which may include maintenance, repairs, small projects, cleaning, security, reception desk operations and landscaping as provided by the Group Facilities Manager. 
  • Coordinate and communicate with internal and external stakeholders regarding property services and project activities occurring on site and support the safe movement and coordination of a working environment for all concerned. 
  • Responsible for the operational logging of requests to building management and the relevant provider or landlord. 
  • Manage and develop technical solutions to property related issues commonly faced in a Facility Management environment and coordinate the repair and return of services to reduce or prevent core business disruptions. 
  • Ensure all works performed by service providers are completed in a timely manner, to an appropriate standard and in accordance with contractual commitments. 
  • Ensuring all contractors are compliant with legislative requirements – insurances, procedures etc.
  • Assist the Group Facilities Manager and Coordinator in all aspects of project implementation as needed.
  • Provide administrative support to the Facilities team.
  • Providing feedback to the cleaning support.

Workplace Health and Safety

  • Implement and maintain developed Client’s policies and procedures that will reduce risks and promote safety awareness
  • Identify potential hazards and, in consultation with Group Facilities Manager and WHS Committee, advise on safe working practices to minimise accidents in the workplace
  • Conduct regular safety audits of the workplace to ensure compliance with legislative requirements and make recommendations concerning unsafe work practices including the provision of on-the-job training where appropriate
  • Maintain the employee induction program with current procedures that reflect legislative requirements

Incident and Injury Management

  • Notification of incidents to the Group Facilities Manager and WHS Committee
  • First responder – First Aid and Facility Fire Warden
  • Conduct investigations into all incidents, injuries and near misses and make recommendations to rectify causes

  • Excellent written and verbal communication skills with the ability to engage stakeholders at varying levels of the business
  • Excellent professionalism is to be displayed at all times within a professional environment that is appropriate for an open office plan and taking into account peers and clientele. 
  • Demonstrate understanding and performance of all systems and telephone interactions
  • An effective team player who values and builds strong relationships

Experience, Skills & Knowledge:

  • Ensure the smooth operation of all building functions. 
  • WH&S experience and knowledge highly desirable, within a commercial environment preferred
  • Be trained and keep up to date First Aid Skills and Chief Fire Warden training
  • Practical problem-solving skills with an operational focus
  • Strong time organisational skills
  • Strong attention to detail essential
  • Strong relationship management
  • Effective communicator both verbally and written
  • Motivated and energised with the passion to make things happen
  • Ability to work autonomously
  • Ability to work with and guide a variety of stakeholders
  • Intermediate levels of Microsoft PowerPoint/Excel/Outlook/Word Skills 
  • Intermediate levels of computerized maintenance management systems 
  • Excellent verbal and written communication skills 
  • Well-developed negotiation skills
