Facilities Coordinator

This role actively supports the Regional Facilities Manager, manage to achieve overall contractual compliance. The development of strong working relationships with client site Service Leads and end users. Contractual services including but not limited to the following services: Mechanical, Electrical, Hydraulic, Fire, Handyman, BAS and Security as well as other FM Services. This includes the achievement of stringent Key Performance Indicators (KPI) while also achieving reporting requirements and financial deliverables within the Annual Operating Plans. This role is responsible for the delivery and timely completion of all Minor Works and Reactive jobs. 

Key areas of Responsibility:

• Management of all Hard and Soft FM Services, Minor Works and Reactive jobs within scope of IFMS contract.
• Manage all Planned maintenance works within the required time frames.
• Manage all Reactive maintenance works to ensure completion within required Response and Rectification times
• Seeking a PO where possible for items outside of contract scope
• Manage Site staff and Contractors in their performance of services they are engaged to undertake.
• Ensure all building services, are undertaken and completed in accordance with the site plan, legislative requirements and contract KPI’s.
• Ensuring customer satisfaction through direct liaison with client representatives, customers and service recipients.
• Reporting near misses, incidents and other opportunities for improvement.
• Management of Report preparation including site meetings, operations, incident reports and meeting minutes as required.
• Site Safety including site safety manual, reporting near misses, incidents and other opportunities for improvement, Carry out hazard and risk assessments for all tasks as per company policy and procedures.
• Ensure the maintenance and service events are appropriately managed through the Computerised Maintenance Management Systems (CMMS).
• Prepare and maintain a full, accurate and detailed site asset register.
• Perform all scheduled service delivery audits, ensuring all services meet the required deliverables. Any actions noted are to be closed out in line with the contractual requirements.
• Detailed understanding of the contract and KPI requirements, and ensure processes utilised achieve the expectations of the KPI’s and minimise site abatement risks.
• Communication including face to face, answering of the phone and email requests, regarding service works in line with the contracted KPI requirements.
• Work on site, embedded within the client business units
• Ensure all suppliers attending site are inducted through LinkSafe, thereby confirming insurances etc are correct

What we expect :

• Ability to manage multiple work requests and suppliers across various sites simultaneously
• Previous experience in building services or facilities management preferable
• Excellent organisational skills, multi task and manage a high volume of work
• Exceptional customer and supplier management skills
• Good interpersonal, written and verbal communication skills including the ability to liaise with both internal and external stakeholders
• Self-motivated, performance driven, flexible and adaptable
• Experience in the management of diverse facilities management issues
• Reliable work ethic and willingness to develop themselves professionally
• Strong computer systems skills including Microsoft Suite and other programs associated with Facilities Management
• Negative Vetting 1 (NV1) Clearance or the ability to obtain one is required.
