About the role
The Facility Maintenance Coordinator role is responsible for management of work requests, including the review and issuing of work orders to contractors. The role supports the Facility Maintenance Manager on deliverables relating to the delivery of maintenance operations. The role will also support the procurement and sourcing team with contractor management activities.
The purpose of the Facility Maintenance Coordinator role is to actively support the delivery of reactive and proactive maintenance tasks efficiently and effectively for NSW Public Schools and Dept of Education facilities and assets. Additionally, provide visibility and control over how maintenance is delivered to ensure maintenance funds are directed into the local community and Educational Standards and guidelines, Australian Standards and all relevant legislation is adhered too.
What You Will Be Doing
The Facilities Coordinator – assists in providing operational Facilities Management Services on behalf of the client This role will be the key contact involved in day to day operations including but not limited to. Key tasks include but not limited to:
Receive and triage reactive and proactive work orders and ensure appropriate allocation and acceptance through the contractor network including re-allocation when required
Monitor the current work orders to ensure these are completed on time and appropriately managed throughout their lifecycle with focus on scope, budget and the program for the annual proactive maintenance plan.
Review of contractors quotes in line with delegation guidelines with a determination of value for money.
Review of contractors work completion timeframes and upload of completion documentation (photos, certificates etc)
Review of all completion attributes and endorse for payment through to the Schools Infrastructure Asset Management Unit
Undertake audits of Facilities Maintenance activities across proactive and reactive works ensuring the even distribution of audits across the geographical area of the region
About You
You will be a self-motivated individual that can work in a team environment and autonomously. You will also be proactive in the delivery of services to meet or exceed the project KPIs and mitigate any project abatement risk. Minimum requirements include:
Minimum 1 year experience in Facilities Maintenance/Management or experience supporting trades/contractor delivery (e.g scheduling, planning) or experience in WHS, Risk Management, or Quality Assurance Systems
Demonstrated passion for customer service with excellent communication skills
Demonstrated ability to manage priorities and a high level of organisational skills / ability to multi-task
Ability to quickly and efficiently resolve issues
Experience in Microsoft products – Teams, SharePoint, Outlook, Excel, Word and PowerPoint
Proactive with a focus on problem solving relating to service delivery
