We are looking a wonderful Experience Executive to help support the team at our lovely office in Southbank (less than 10min stroll from Flinders St Station).
In this role you will focus on delivering a best in class people experience to employees, clients, suppliers and other external stakeholders and visitors to the office. You will support the Experience Manager, working collectively to service the wonderful humans and agency brands that make up our business and to ensure overall maintenance, presentation and operations are at a consistently high standard.
KEY RESPONSIBILITIES & EXPECTATIONS:
Employee Experience:
- Supporting Experience Manager to create a positive and inclusive office atmosphere
- Oversee employee needs to ensure the office is delivering at a high standard
- Assist with onboarding of new starters
- Ensuring there is a high level of staff experience satisfaction
- Responding to employee & external visitor requests & needs
- Upwards manage any issues to your Experience Manager
Resetting of Meetings rooms:
- Responsible for the presentation standards of shared meeting rooms
- Ensure beverages & catering requirements are met for guests
- Ensure all employee & external visitor needs are met for all meetings
- Be across meeting room calendars and availability
- Ensure all rooms are AV ready & help resolve IT issues
- Work with IT to resolve any tech related issues
- Ensure excellent presentation of all meeting rooms
Incoming calls:
- Answer incoming calls for brands on the floor and direct phone traffic to appropriate team member
Building maintenance & Facilities Management:
- Ensure overall maintenance of the kitchen breakout/area is consistently at a high standard
- Ensure all drinks, breakfast items & cutlery/crockery are adequately stocked and available
- Escalate any maintenance issues on floor and arrange/find suitable solutions
Cleaning services:
- Ensure toilets and kitchen areas are at a consistently high cleaning standard and report any maintenance issues to building management
- Ensure cleaning standards of the kitchen breakout areas are of a consistently high standard
- Troubleshoot any cleaning issues that arise and resolve
Events & social:
- Coordinate and assist agency brands with social/team events
- Liaise with other Experience team members across the Groupe
Communication:
- Work with your Experience Manager to ensure staff are kept informed on any maintenance issues
Couriers & mail service:
- Collect and distribute mail or packages to staff on floor
- Distribute mail from employees to mail out area
- Arrange couriers for collection of packages
Manage OHS & Firewardens:
- Responsible for ensuring the building meets OHS standards
- Being the firewarden and contact point for the floor
- Ensuring the first aid kit is accessible, adequately stocked and available to staff
- Overseeing any first aid issues
- Coordinate calendars for meeting rooms, company cars and client car spaces
Managing shared meeting rooms:
- Support your Experience Manager in the booking and coordination of all shared meeting rooms
- Maintaining room bookings on Outlook
- Attend to external visitor needs in meetings rooms
Printing services:
- Ensure all shared print areas and utilities are stocked and replenished
- Respond to staff stationery and printing requests
Your experience:
- You will have a minimum of 1 year experience working in a hospitality, customer service, or facilities/office related role
- Ability to thrive in constant change and able to work through any roadblocks
- Proactive approach and anticipate issues before they might arise. You don't wait to be asked, you're a step ahead
- IT savvy and have the curiosity to constantly develop your skills
- Self motivated and driven to provide exceptional service
- Excellent verbal and written communication skills with the ability to communicate effectively with many different people/stakeholders across all levels
- Ability to stay calm under pressure
