The Role
Qube has an opportunity for a Governance and Office Administrator to join their Sydney based legal and Company secretary team based in Clarence Street. The Governance and Office Administrator will provide high-level administrative support to the company secretariat team and, as needed, general office management support.
The position is 32 hours per week and can be spread over a four or five day work week.
Some of the key responsibilities will include;
- Assistance with preparation of board and committee papers and uploading them to, and maintenance of, the board and committee meeting materials platform, Diligent Boards.
- Assisting with director induction, onboarding and Board and Committee performance reviews.
- Management of company secretarial platform and drafting of company secretarial documentation.
- Lodging ASX announcements and preparing and lodging ASIC and other regulatory filings.
- Assistance organising internal and external meetings including annual general meetings.
- Engaging with regulators on clerical and administrative matters.
- Assisting with administrative and clerical tasks including coding and reconciling of expenses for company secretaries and directors.
- Management of, and reporting on, employee trading in the company’s shares.
- Maintaining various subscriptions and licences.
- Assisting with execution of documents.
- Organising travel arrangements for the company secretary.
- Maintaining all company secretarial and company registers.
- Liaising with and assisting other shared services with support inquiries (e.g. payroll, tax, accounts, finance).
About you:
You will have experience in company secretarial functions, preferably within an ASX listed company and working in an office environment and supporting executives and boards of directors.
With excellent communication, initiative, and organisational skills you will harness the ability to work effectively with people, systems and reporting tools. You will have experience developing key relationships with internal stakeholders and the ability to meet deadlines under pressure.
