Job Overview: We are seeking a friendly, energetic and proactive Guest Relations and Operations Coordinator to help manage all aspects of guest interactions and operational support – working closely with the Holidays Manager at Accom Holidays Terrigal. This role involves ensuring exceptional guest experiences through effective communication, efficient handling of bookings, strong relationship skills and meticulous attention to detail in operational tasks.
Key Responsibilities:
Guest Management:
- Manage guest feedback and reviews.
- Oversee overall guest experience.
- Coordinate with housekeeping for last-minute bookings and guest requests.
- Active management of 3rd party platform bookings/metrics/dashboards
- Facilitate early check-ins and late check-outs as required.
- Provide support for bond processes to properties with guests and owners.
Operations:
- Provide administrative support to senior staff and assist in coordinating maintenance tasks.
- Log maintenance jobs and coordinate with tradespeople, ensuring timely resolution.
- Manage Holiday property inspections and maintain inventory records.
- Purchase necessary items and arrange deliveries as needed for properties.
Reservations Support/Supervision
- Assist reservations staff with managing bookings and payments via various platforms.
- Update booking confirmations and communicate with guests regarding final payments and departure details. Maintain daily updates of payments/deposits and client confirmation letters promptly.
- Manage inquiries and bookings via 3rd party platforms Airbnb, Stayz, Booking.com, etc., up to the point of handoff to the Reservations Team.
- Monitor future bookings for overdue payments, follow up as necessary, and issue deposit reminders.
General Requirements:

- Demonstrate meticulous attention to detail and accuracy in all tasks.

Qualifications and Skills:
- Proven experience in hospitality or Guest Relations roles preferred.
- Excellent communication and organizational skills internal & customer facing.
- Proficiency in handling reservation systems, Microsoft applications, and basic administrative tasks.
- Ability to manage multiple priorities and deadlines effectively.
- Strategic and Planning skills highly valued
Working Conditions:
- Full-time position, regular office hours with occasional seasonal weekends or evenings (emergency) as needed.
