The Role
This newly created role reports to the Information Systems Manager and will be responsible for the ongoing administration and support for the projects EDRMS system and Sharepoint sites but might be limited to these.
As the Information Systems Administrator, you will provide content migration expertise to the Information Manager for metadata cleansing in readiness for migration and quality assurance checks post migration and set up the EDRMS to align with the business requirements and permissions. This role will also be responsible for the project Sharepoint sites, working closely with IT to manage the approval processes and provides oversight and monitoring of use.
Responsibilities:
Administers and provides support to the projects EDRMS systems and Sharepoint sites e.g. setting up project/user permissions and security, developing workflows to support processes required, developing saved searches to facilitate fast recovery of content etc
Reviews and oversees the content metadata cleansing exercise in the existing EDRMS in readiness for migration
Works with the vendor SME to execute the migration and conduct quality and assurance checks post migration
Sets up a support model for the ongoing support of the EDRMS and Sharepoint sites
Designs and develops standard and custom PowerBI reports for the EDRMS and Sharepoint sites for oversight and monitoring
Develops and documents workflows, processes and procedures relating to the information systems
Develops and implements a change request process for all change requests for the EDRMS and Sharepoint
Develops online forms in Sharepoint, PDF or other applications
Liaises with IT to develop approval workflows and processes
Provides support and training to the document control team as required
Manages the communication for system updates and outages

About You

TAFE or Degree qualification in a relevant course
Further education/training qualifications projects EDRMS systems, Power BI and Sharepoint would be highly desirable
Minimum five (5) years working experience in a similar role
Qualifications or past working experience with project management methodologies like Prince II, PMBOK, Agile, waterfall would be desirable
ITIL qualifications would be desirable but not essential
Any formal system or information audit qualifications would be desirable but not essential
Hands on working experience in developing complex Power BI reports, working experience in writing, documenting workflows, processes and procedures
Previous experience working in a document control environment with a good understanding of document control functions and activities
Good understanding of databases and the use of metadata, with prior experience with content migration from one EDRMS to another is highly regarded
Prior experience in an IT support environment would be well regarded
High proficiency with Excel, Word, PDF and Visio
A professional demeanor and strong communication skills both written and oral
