Job description

We’re seeking to fill the position of Legal Support Officer in our Sydney office. It is intended that a merit pool made up of Sydney, Melbourne, Brisbane, and Adelaide candidates will be created from this recruitment process to fill other vacancies or similar vacancies that may arise within the next 18 months. 

This position is part of a team of Legal Support Officers who undertake a broad range of administration activities to support their local Legal teams, our national litigation and advice practice, as well as participating in a range of initiatives for the wider Legal and Policy Group.

About the Team 

This role is based in the Projects and Practice Management Team who support the Legal and Policy Group to run its litigation and legal advice programs.  The team is responsible for coordinating and managing the administrative requirements of the Legal Compliance and Enforcement branches, the Legal Advice Team, along with being responsible for data analysis, project coordination and the contribution to a range of inter-branch programs and agency wide technology projects. 

The key duties of the position include:


Typical Duties 

The duties of this role will include, but are not limited, to the following: 

  • Filing Court documents and assisting with the preparation of Court documents, such as compiling Court books, case authorities folders and preparing annexures for affidavits
  • Creating CRM (Dynamics 365) and document records (SharePoint) for new litigation and advice matters, creating and managing purchase orders and associated invoicing 
  • Administrative duties such as, organising travel, photocopying, filing, stationery ordering, document management, presentations, data entry, scanning and emailing
  • Organising meetings and preparing agendas, minutes, and other documentation
  • Reconciliation of Diners Club statements and preparing associated documentation
  • Creating and updating reports and accompanying graphics by collating, organising and preparing data from the OFWO’s internal database systems
  • Conducting preliminary searches (such as company searches) 
  • Preparing basic correspondence.

Our Ideal Candidate

We are seeking exceptional administrators who are agile and adaptable. Strong communication skills are vital in this role as you work within a broader team and with a variety of stakeholders.  

We are looking for a service-oriented individual with a can-do attitude who also has great teamwork skills.

  • You must be able to demonstrate high level organisation and time management skills with strong attention to detail, as you will be balancing competing priorities in a fast-paced environment with tight time frames.
  • Your experience as an administrator must also show that you are able to operate under general direction in your area of responsibility and use sound judgement to know when to seek advice or raise concerns with the broader team.  You will also demonstrate the completion of more complex tasks and show how you resolve these with stakeholders.
  • You will need to possess experience in using a range of IT systems, such as case management systems and the Microsoft suite of programs.
Eligibility
  • To be eligible for employment with the OFWO you must be an Australian citizen. 
  • The successful candidate must hold a current Australian Government Security Clearance (AGSVA) or be willing to undergo and obtain a Baseline security clearance. 

A range of other conditions may be required depending on the role you are applying for.
