About SWAMS:

The South West Aboriginal Medical Service Ltd (SWAMS) is an Aboriginal Community Controlled Health Organisation, founded on the principles of self-determination, empowerment and freedom of choice. Our mission is to provide high-quality, culturally appropriate, and holistic healthcare that builds strong and healthy Aboriginal communities. We act with integrity and are dedicated to excellence. We have over 200 staff here at SWAMS and are continuing to grow. We are actively working to "Close the Gap".

We operate out of the Greater Bunbury area, Mandurah, and have numerous clinics throughout the South West.

About the Role:

As a Medical Administration Officer, you will play a crucial role in supporting our clinical and administrative teams. Your responsibilities will include:

  • Administrative Support: You will provide essential administrative support to our Medical Practitioners, ensuring smooth operations in our clinics. This includes managing appointments, maintaining patient records, and handling correspondence.
  • New Employee and Student Placements: You will assist in onboarding new employees and coordinating student placements within our medical facilities. This involves organising orientation sessions, ensuring compliance with policies, and facilitating a positive experience for newcomers.
  • Medical Rosters: You will collaborate with our team to create and manage medical rosters. This includes scheduling shifts, ensuring adequate coverage, and maintaining accurate records.
  • Information Provision: You are responsible for maintaining accurate and timely information provision to the medical workforce. This involves disseminating critical updates, policy changes, and relevant announcements.

Essential Criteria:

  • Ability to achieve high level customer service to internal and external clients in high pressure situations.
  • Ability to achieve administrative program requirements within tight timeframes.
  • Advanced computer skills with experience and competency in all Microsoft programs.
  • High level of verbal and written communication skills.
  • Demonstrated ability to communicate effectively and sensitively with Aboriginal people.
  • A demonstrated understanding of the unique issues effecting and impacting upon the health of Aboriginal people.
  • Experience, skills and knowledge in multidisciplinary teamwork and conflict management.
  • Demonstrated organisational and time management skills along with an ability to adapt to changing needs.
  • Current “C” or “CA” class driver’s licence

Desirable Criteria:

  • Aboriginality would be advantageous in this role but is not an essential requirement.
  • Successful completion of a Medical Reception Course.
  • Experience in Community or Aboriginal Health.
  • Knowledge and expertise in the use of Communicare or similar clinical database system.
