Position Title: Medical Operations Manager

Employment Type: Full Time

Reporting To: CMO / Head of Operations


Role and Responsibilities: 

  • Please note: This position is completely work from home (WFH).

The Role

We are seeking an experienced and agile Medical Operations Manager to oversee daily operations of our clinic to ensure efficient and effective functioning. This role involves onboarding, training and managing Authorised Prescribing doctors, developing and implementing internal policies, ensuring high-quality patient care, maintaining compliance with both state and national regulations, fostering communication and collaboration, overseeing the use of the platform and contributing to continuous improvement. This role requires a proactive leader who possesses authoritative and confident medical decision making skills, demonstrates outstanding communication and preferably has a background in telehealth.

Key Responsibilities:

  • Team Management:
    • Onboard and train all remote Authorised Prescribing doctors onto the Dispensed platform.
    • Be involved in the recruitment process of new doctors to the Dispensed ecosystem.
    • Coordinate, supervise and manage the team of doctors and assist with any issues or questions they may arise.
    • Ensure constant effective, clear communication and collaboration.
    • Provide leadership and support to medical staff, fostering a culture of excellence and continuous improvement.
    • Conduct regular audits of operations and suggest process improvements.
  • Regulatory Compliance:
    • Stay current with TGA and telehealth regulations and standards in Australia. 
    • Be across regulations on a state and national level whilst also being informed of updates and changes in a fast paced industry that is constantly changing.
    • Ensure all telehealth practices comply with relevant legal and regulatory requirements.
    • Develop and implement policies and procedures to maintain compliance.
  • Medical Decision-Making:
    • Make authoritative medical decisions in collaboration with Authorised Prescribing doctors.
    • Develop and oversee medical protocols and guidelines for patient care.
    • Assist with complex medical cases and provide guidance to medical staff if required.
  • Process Optimisation:
    • Evaluate and improve internal medical processes to enhance efficiency and patient care.
    • Implement best practices in telehealth and remote patient management.
    • Utilise data and feedback to drive continuous improvement in Medical Operations.
  • Communication and Coordination:
    • Serve as the primary point of contact for all remote doctors.
    • Coordinate and collaborate with the nursing management team to ensure consistent and timely patient care.
  • Reporting
    • Generate weekly reconciliation reports of doctor activity and clinical operations.
    • Undertake daily reviews of various operational metrics, identify any anomalies.
    • Monitor and improve clinical quality metrics and patient outcomes.

Requirements:

  • Relevant bachelor’s degree.
  • Managerial experience in a healthcare setting, preferably in telehealth.
  • Experience with remote Medical Operations.
  • Strong knowledge of telehealth regulations and standards in Australia.
  • Proven leadership and team management skills.
  • Outstanding communication and interpersonal abilities.
  • Ability to make authoritative medical decisions and handle complex cases.
  • Strong organisational and process improvement skills.
  • Familiarity with electronic health record (EHR) systems and telehealth platforms.
  • Experience in the medicinal cannabis industry is desirable but not mandatory.
  • Ability to work independently and remotely.
  • A broad knowledge of medicinal cannabis prescribing, approval pathways and product knowledge would be desirable.
