We are seeking an experienced, efficient Full time Medical Receptionist/Administrator with a passion for Customer Service and excellent organisational skills to join our dynamic group.
As the Medical Receptionist/Administrator you are responsible for supporting the functioning of the practice and providing exceptional patient care. The primary purpose of the role is to provide high quality, accurate and efficient Reception/Administration services to the business that meet professional and company standards. Ensuring an absolute commitment to the delivery of professional, caring and friendly services to patients, referrers and customers.
The requirements of the role include but are not limited to:
- Coordinate daily administrative functions/Reception duties including but not limited to; greeting patients, diary/calendar management, processing payments & receipts, phone system management and providing support as directed by the WA Clinical Manager and WA Clinical Administration Manager.
- Portray professionalism and integrity along with demonstrating behaviour and attitude that is in line with the company’s core values.
- Manage patient complaints ensuring appropriate protocols and guidelines are followed.
- Maintain WIP schedule to coincide with WIP whiteboard meetings. Patient Management.
- Liaising and invoicing with local funders for our local and external clinics.
- Ensure that all mail and postage is dealt with in a timely manner.
- Petty cash management.
- Manage the cleanliness and restocking of all patient and staff amenities, including but not limited to common areas, waiting rooms, treatment room & staff facilities.
- Identify, review and implement process and procedure improvements to continually improve business performance as directed by the WA Clinical Manager and WA Clinical Administration Manager.
- Update and maintain confidential information databases to a high standard, in line with company policies and audit requirements.
- Ensure all patient folders are kept up to date with all required documentation.
- Conduct ad-hoc projects and administrative duties as directed by WA Clinical Manager and WA Clinical Administration Manager.
- Maintain a safe and healthy working environment and ensure compliance with all company OH&S policies and procedures.
- Provide relief cover for the Myaree Office as required.
- Prepare documents/Folders for Clinicians appointments.
To be successful in this role, you will ideally:
- Demonstrate professional and courteous phone and customer service manner.
- Previous experience working within a health environment advantageous.
- Ability to effectively and professionally communicate with patients and staff members in a clear and concise manner – both verbally and written.
- Presentable, empathetic and adaptable in nature.
- Strong organisational skills with proven ability to plan, manage & prioritise a busy workload independently.
- Be a highly self-motivated individual who has the demonstrated ability to work autonomously as well as part of a team.
- Be a fast learner with the ability to be open to, adapt to and implement new processes and change.
