As the Office Coordinator you will oversee the smooth operation of our corporate office and be responsible for a wide range of administrative tasks, ensuring efficiency and effectiveness across various office functions. Additionally, you will be responsible for managing Group CEO’s calendar and regular scheduled activities and provide administrative support to the executive.

About the role:

  • Provide administrative support to the Group CEO as required including calendar management, planning and coordinating travel arrangements and scheduling internal and external meetings on their behalf.
  • Prepare and distribute memos, reports, presentations, and other documents as required, ensuring accuracy and consistency in formatting and content
  • Preparation and printing of materials for monthly board meetings.
  • Assist with special projects, research, and presentations as required by the executive team, often involving compiling analysis and reporting.
  • Coordinate travel bookings for the ELT through preferred supplier.
  • Assist with travel platform account setup and management for new users.
  • Manage user accounts and access for ContractWorks, Monday.com, and travel software platforms.
  • Assist with basic financial administration tasks, such as processing invoices, expense reports, and petty cash transactions, and maintaining financial records.
  • Coordinate the Intranet updates as requested.
  • Maintaining a high level of discretion and confidentiality in handling sensitive information and discussions.
  • Attend executive meetings as required and take minutes.
  • Assist with the planning and coordination of office events, meetings, and conferences.
  • Arrange catering, transportation, and accommodations as needed.
  • Prepare necessary materials and ensure logistical arrangements are in place.
  • Maintain a clean, organised, and well-stocked office environment, including ordering supplies, coordinating equipment maintenance, and managing office equipment and facilities.
  • Maintain postage supplies and coordinate courier services as necessary.
  • Procure necessary items for the office, including groceries, stationery, and equipment.

About you:

  • Diploma or equivalent qualifications business administration, management, or related field preferred.
  • Previous experience in office administration or a related field
  • Strong organisational and multitasking abilities.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Ability to work independently and prioritise tasks effectively.
  • Have a ‘can-do’ attitude and a pleasant mature approach
