We are Prism Facades, a boutique, design-focused engineering consultancy based in the Sydney CBD. We work collaboratively with our clients and design teams to deliver responsive, bespoke facade designs. Prism are currently seeking a driven and dedicated Office Manager to work alongside our small tight-knit team, aid the Directors and drive the office to success whilst maintaining a professional and positive demeanour.
Key Responsibilities:
Office Administration:
Take responsibility for all office administrative tasks, policies and procedures and ensuring the smooth running of the office
Develop/maintain and monitor the general office internal systems
Coordinate with suppliers - ordering, and filing of material samples
Being the point of contact for external enquiries
Ensuring the office and boardroom is always clean and tidy
Project Administration:
Liaise with project engineers to prepare and issue monthly invoicing using Xero
Project setup and document control
Liaise with sample suppliers
Assist with Project Management tools such as Aconex, Payapps
Graphic Design & Marketing:
Assist with the preparation and formatting of design reports, typically using InDesign.
Assist in the preparation of presentation documents for competitions and fee proposals
Manage all social media platform (Instagram and LinkedIn) by creating new content and engaging with followers
About you
This position will suit a confident communicator with excellent written, verbal and graphic skills. You must be highly organised, detail-oriented and able to multi-task. Confidence to work both collaboratively and autonomously whilst taking initiative is essential.
Experience working with an architecture or engineering practice is preferred but not essential.
Detailed knowledge of the Microsoft Office suite is essential. Experience using Photoshop, In-design, WordPress and Xero would be most beneficial, although a proven ability to learn new computer programmes would be sufficient.
We are happy to consider various part-time hours or days and can be flexible to suit the successful candidates’ preference (i.e. 4 full-time day per week, 5 half days per week, etc). We offer a competitive salary, to be negotiated on the preferred part-time hours.
