Position Title               

Office Manager

 Position Purpose

The Office Manager’s role is integral to ensure seamless office operations.  This is a temporary opportunity with the potential to become permanent.  Casual hourly rate $45 - $50 per hour + super depending on experience. 

 Responsibilities

·       Full responsibility for end-to-end facilities management         including security, utilities, repairs and maintenance, office supplies, meeting room facilities, kitchen facilities and waste removal

·       Liaise with facility management vendors, including cleaning, catering and security services

·       Schedule meetings and appointments

·       Maintain the office condition and arrange necessary repairs

·       Experience in setting up office policies and procedures

·       Organise office operations and procedures

·       Ensure that all items are invoiced and paid on time

·       Manage contract and price negotiations with office vendors and service providers

·       Oversee two receptionists and provide general support to visitors

·       Address employees’ queries regarding office management issues (e.g. stationery, hardware)

·       Coordinate first aid and fire warden compliance

·       Manage the whereabouts and upkeep of all office property      and facilities including car park allocations, security passes,      keys, laptops, monitors, docks etc and keep lists of assets          up-to-date

·       Coordinate and book internal and external events

·       Organise travel bookings for all staff.

Key Skills, Attributes and Qualifications

 Essential

·        Proven experience as an Office Manager, Front Office Manager or Senior Administrative Assistant

·        Knowledge of Office Administrator responsibilities, systems and procedures

·        Proficiency in MS Office (MS Excel and MS Outlook, in particular)

·        Hands on experience with office machines (e.g. fax machines and printers)

·        Excellent verbal and written communication skills with the ability to influence   a positive working environment

·        Exceptional customer service, attention to detail and dedication

·        Strong organisational and planning skills in a fast-paced environment

·        A creative mind with an ability to suggest improvements

 

Desirable

·        Knowledge and understanding of the Independent Schools Sector
