Equine Administrator / Office Manager – Full time
Yabby Dam Farms, a leading Thoroughbred/Standardbred stud, is seeking a reliable individual for the position of Equine Administrator/Office Manager. This role is a full time role for a individual with genuine interest in horses (thoroughbreds and/or harness) in the farm offices, located 15 minutes out of Ballarat.
This is an exciting opportunity for a committed and passionate person who is eager to expand their skill set and progress their equine, office administrative and accounting skills providing support with administrative tasks.
The role will include the following tasks (but not limited to):
- Responsible for all equine administration/records (registrations, futurities, stallion contracts, movements, import/exports, etc.)
- Industry software maintenance (movements, treatments, others)
- Stud breeding contracting and correspondence.
- Coordination of syndicate management and communication
- Thoroughbred events and merchandising management.
- General banking duties;
- Assisting with invoicing/billing tasks;
- Reconciliations;
- Processing payments;
- Assisting with the preparation of reports;
- General administration
- Data processing and entry
- Maintaining spreadsheets and software (training provided)
- Assisting with email and telephone enquiries from clients;
- Organising various quotes for the purchase, hire or repairs of office equipment as required;
- Approving payments for suppliers' invoices;
- Managing and escalating IT queries.
To be successful in securing this role you will have:
- Specific equine experience with Ardex, My Stable, Prism or similar is required.
- Administrative and financial reporting skills.
- Advanced Excel and MYOB or Xero skills
- Previous office management experience is essential (would be an advantage).
- Accounting degree or extensive equine industry experience.
- Outstanding attention to detail.
- Excellent written and verbal communication.
- Demonstrated ability to organise tasks and provide timely outcomes.
- Experience in a fast-paced workplace managing multiple deadlines.
- A Permanent Residency or be an Australia citizen as this is a full-time permanent position.
