About the role
The role of Office Administrator / Personal Assistant will be best suited to someone who enjoys working in a dynamic & fast paced environment, thrives in a collaborative & positive team, and has extensive experience in an executive and/or corporate setting.
This is a part-time role based at our Head Office in Bundall, QLD, supporting our close-knit team & two company directors in day-to-day operations.
Who we are looking for
We are looking for an enthusiastic, experienced, and hardworking Office Manager/ Personal Assistant to oversee the day-to-day running of our head office operations and provide secretarial and administrative support to the Co-Directors. Tasks will be of both personal and business nature, so flexibility and a positive attitude towards dynamic workloads are a must. You will possess the following:
- Quick and methodical thinking with the ability to remain calm under pressure
- Proficiency in Microsoft, Canva, Tanda and Asana
- Ability to confidently liaise with various stakeholders, showing the highest level of professionalism
- Previous experience as a PA to lawyer, executive or board directors is desirable
- Longevity, someone who wants to grow with the company
- Relative understanding of the FIFO industry is highly advantageous
Some of your key responsibilities
- Answering the main company phone line, directing calls to relevant teams / departments, and taking messages
- Setting up meeting spaces and taking notes to convert to follow up emails and action plans, this will include greeting guests and clients in a highly hospitable manner
- Diary management, organising meetings & scheduling events for directors including travel arrangements
- Ensuring the Head Office is kept well stocked, clean & tidy
- Ability to maintain the highest level of confidentiality, attention to detail and accuracy always.
- Assist with ad-hoc planning or organisational tasks for company projects
- Expand upon a positive, hardworking, and enjoyable work culture within our head office team
