Job Description
As the Office Operations Lead, you will be responsible for ensuring the efficient and smooth operation of day-to-day facility and office management tasks. Your role oversees the maintenance of office facilities, manages the reception area, coordinates office services, and supports administrative functions to create a productive and well-organized work environment. Additionally, as a member of the Event and Experience team, you will support overflow activities of the event team as required.
Facility Management: Oversee daily operations and maintenance of corporate office facilities nationwide, ensuring compliance with health and safety regulations including being a Fire Warden and First Aid Officer.
Office Administration: Manage office supplies, coordinate guest services requirements in all corporate offices nationwide and oversee the reception area in Head Office during the morning.
Operational Support: Implement office policies, handle administrative tasks, and assist with employee onboarding.
Event and Experience Team Support: Support event planning and execution, managing overflow activities and on-site logistics.
Support Initiatives: Support the broader Events and Experience initiatives as required, contributing to the overall enhancement of the workforce experience.
Budget Management: Monitor the Office Operations budget, track expenses, and identify cost-saving opportunities.
Vendor and Service Coordination: Liaise with vendors, negotiate contracts, and ensure quality delivery of services.
Technology and Equipment Management: Oversee maintenance of office equipment and coordinate with IT for technology needs.
Customer Service: Resolve issues from employees and visitors, maintaining high customer service standards.
Continuous Improvement: Identify and implement improvements in Office Operations, staying updated on industry best practices.
Qualifications
- Demonstrated years of experience in office management or related administrative roles, with event planning experience as a plus.
Strong organisational, communication, and multitasking skills; proficient in Microsoft Office Suite.
Detail-oriented, proactive problem-solver, team player, and strong customer service skills.
Ability to work flexibly and manage multiple projects simultaneously in a fast-paced environment.
Basic understanding of facilities maintenance, safety regulations, and budgeting.
Discretion with confidential information, flexibility for event support, and strong vendor management skills.
