Your Role:
The Office Supervisor will play a crucial role in overseeing the daily administrative operations of the office. This includes managing customer enquiries, coordinating office activities, maintaining records, supervising staff, and overseeing production processes.
Key duties include:
Customer Service and Administration
- Handle customer enquiries efficiently and professionally.
- Process orders and manage sales documentation and distribution.
- Train customers in the use of the learning management system (LMS).
- Prepare quotes and invoices.
- Maintain and update customer records in the CRM system.
Office Management
- Oversee general office operations and ensure a smooth workflow.
- Manage office supplies and coordinate maintenance of office equipment.
- Ensure compliance with company policies and procedures.
Meetings Coordination
- Schedule and coordinate meetings.
- Create agendas and take minutes.
Production coordination
- Develop production timelines and allocate tasks to staff.
- Supervise staff to ensure timely and quality production.
- Quality check on production output.
Document Control
- Initiate and support the creation of continuous improvement (CI) documentation.
- Facilitate CI meetings and track progress on improvement initiatives.
- Implement and track version changes to documents.
Staff Supervision
- Supervise administrative and production staff and coordinate daily activities.
- Provide training, support, and feedback to team members.
- Conduct regular team meetings to ensure alignment to internal processes and address any issues.

Skills that would be advantageous to have:
- Experience in the RTO sector.
- Experience with documenting systems and creating policies & procedures, and version control systems.
