About the role
We are seeking an Operations Assistant to join our Sydney Head office based at The Rocks in Sydney. This is a great opportunity for someone who has extensive operations, personal, or executive assistant experience with preference given to those who have worked within the projects and/or engineering industries.
This role will report to the Operations Administration Coordinator who is responsible for the nationwide administration function at Tactix-Sener. The main duties will be to provide support with personal assistance duties to the executive team and general administration duties for the wider team.
As this role will be the main point of contact for the office and our executives, please note this role will be based in the Sydney office 5 days per week.
Key Responsibilities
- Provide support to executives and wider team with duties such as scheduling meetings both internal and external, which at times will mean working within different time zones
- Providing guidance and support with travel arrangements where required, including profile set up
- Proofing and formatting of documentation and communications ensuring brand consistency
- Document creation and preparation including reports, presentations, tender documents and other company communications
- Document management and assisting with systems and processes, including implementing them out to the business and making sure people are using the right processes, whilst providing general assistance where required
- Document and file structure management within SharePoint
- Provide administration support for specific projects or business units including research, data collection, reporting and coordination with relevant internal and/or external parties
- Efficient management of the office, making sure it is kept tidy, well maintained, and presentable
Skills and Experience
- Extensive PA/EA experience preferably in engineering, construction, and project industries
- Intermediate to advanced MS Office skills (Word, Excel, PowerPoint, Outlook, MS Teams) and other relevant software
- Excellent stakeholder management and experience supporting senior managers
- Proven experience formatting, proofing and finalising documentation and communications
- Proven ability to communicate effectively and confidentially
- A self-starter who is enthusiastic and an early adopter for new systems
- Proactive and high attention to detail
