About the Opportunity:The Operations Manager oversees agency operations, managing contracts, finances, and data entry, while also coordinating events, ensuring compliance, and facilitating communications with external stakeholders to support operational excellence and sales efforts.
Key Responsibilities:
- Manage the Auction Day experience from the presentation to all event coordination to ensure transparency and accuracy of information and updates, bidder registration, bid deposits etc.
- Manage property systems and data security ensuring they are always accurate and up to date.
- Administration of Victorian Compliance such as staff training, licensing, filing of all compliance docs and registrations to ensure that this is always up to date.
- Administer operations to ensure lateral visibility of all tasks and operational performance, consistently implementing meaningful change/improvements.
- Coordinate the event end to end from the venue to suppliers and staff roles ensuring you have streamlined all processes.
- Administer all RTA, contracts, TM1, slideshows and presentations for functionality, accuracy, quality and compliance.
- Administer campaign marketing, marketing guidelines and external account management ensuring all collateral and information is accurate and on brand.
- Administer Trust Accounts, Invoicing, Expenses and all Filling Management ensuring all data is accurate and up to date and filed in the correct system/process.
- Experience in using financial management software such as MYOB.
- Understanding of contract management processes and legal compliance requirements.
- Skills in data management and entry, with attention to accuracy and detail.
- Knowledge of Real Estate operations, including agency agreements, licensing, and office compliance.
- Strong organisational skills to oversee multiple tasks and meet deadlines.
- Skills in creating and managing presentations, particularly for auction days.
- Knowledge of sales metrics and the ability to manage sales data effectively.
- Ability to lead and conduct operational meetings and coordinate team efforts.
- Strong ability to use Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for document creation, data analysis, presentations, and email management.
