The Role
The Operations Manager is responsible for providing professional coordination and supervision of the day-to-day operations of the practice, including the coordination of the office administration, knowledge management, coordination of marketing and business development activities, internal events and function management, procurement, and training.
You will have exposure to a wide range of tasks, including:
- Manage all office administration matters including premises, catering, meeting scheduling, library, website management, repairs and reception.
- Team leader to EAs and managing the EA workflows to facilitate even distribution of work and drive process flow efficiencies to benefit both support and professional staff.
- Manage the paralegal workflows on administrative tasks and ensure compliance and growth according to paralegal mentor program policy
- Communicate internally regarding Policy & Process changes, and the establishment of new knowledge management resources for the practice.
- Act as the firm’s ‘Champion’ for effective and efficient use of our legal practice management and document management systems.
- Manage the support team including recruitment, and training and development.
- Sending out staff communications for staff promotions, achievements, birthdays and arranging staff morning tea once a month to collectively celebrate birthdays.
- Support the Finance, HR and IT teams with the provision of local IT support, project and change management.
- Prepare necessary documentation to facilitate attendance at the directors’ meetings.
- Drive cost efficiency in office administration, reporting, automation and effectiveness across role responsibilities.
- Develop, implement and maintain effective business performance tracking metrics for all functions.
- Effectively plan and organise multiple deadline-driven projects efficiently and on time as required as they relate to the finance function.
About you
Ideally you will have a minimum of 5 years previous experience as a Operations Manager within a Law Firm.
You will also possess:
- Exceptional problem solving skills
- A broad understanding of various legal practices
- A Tertiary qualification in business is desired but not essential
- The ability to engage and communicate with stakeholders at all levels and communicate in a structured and professional manner
- Ability to think strategically
- A can-do attitude and desire to succeed
- Ability to self-manage and prioritise workload to meet deadlines
