About the role Reporting to the Shipping and Operations Planner, the Operations Scheduler’s accountabilities and functions will include the scheduling/rostering/allocation of resources and administrative support of Port Operations planning and scheduling for our team in Esperance. The Operations Scheduler’s will be responsible to assist in the maintaining and producing the daily shipping forecast, allocation and notification of labour/resourcing and associated operational administrative support. Key Responsibilities Assist the Shipping and Operations Planner to review and manage change requests from internal SPA team members, as well as clients and shipping agents Assist to reschedule SPA shipping schedule in accordance with established processes and procedures Identify vessel scheduling conflict and likely solutions Update Shipping Schedules Conduct rostering notifications daily in line with EA conditions Respond to a changing work environment Provide support to the operations team as required with effective scheduling and rostering Participate in continuous improvement initiatives including but not limited to the SP Berthing Rules, berth and operational efficiencies Ensure resources are provided to achieve optimum operational performance Provide relief coverage to the Shipping and Operations Planner Develop and maintain spreadsheets to track employee hours and equity of shift allocation Maintain spreadsheets to track overtime, absences, availability and EA compliance Develop and execute operational plans Identify and allocated appropriate labour resources to meet operational labour demands Maintain and reconcile labour records Complete work notifications to employees as required Complete data entry of vessel performance logs Accurate minute taking of meetings Provide operational planning support to SP operations team Other administrative tasks of a shipping or operational nature as required Experience and Requirements Completion of Year 12 Microsoft Excel Diploma or Certificate 4 in Business At least 12 months of scheduling or planning experience, preferably in a Port environment Previous administrative experience Experience working in a Port related operational or admin role Working with industry standard computer packages such as Microsoft Word, Excel, PowerPoint Synergy software Knowledge of Regulations applicable to the operation and management of Ports in Western Australia Good communications skills including ability to navigate potential conflict Proactive and intuitive Strong focus on continuous improvement Well written and verbal communications Ability to read and understand enterprise agreements Ability to work with numerous software interface systems To view the PD for this role, please copy and paste the below link into your browser:https://www.dropbox.com/scl/fi/cu0wcpi3uwa1vt091kocn/PD-Operations-Scheduler.pdf?rlkey=j4j1nmq7i5mv7a4i7gynx7mvn&dl=0 Requirements To be eligible for this permanent role, applicants must provide proof of Australian citizenship or permanent residency and be able to reside or relocate to Esperance.
