People & Culture Co-ordinator to join our national
People & Culture team based in Melbourne.Our national
People & Culture team has approximately 22 people in the team covering talent acquisition, generalist, diversity, inclusion & wellbeing and learning & development.
Key responsibilitiesThe successful candidate will be responsible for:- providing general administrative support to the team including phone answering & message, updating documents, handling basic enquiries, e-filing, paying invoices, travel arrangements, processing expenses;
- co-ordinating logistics in relation to people movements (new starters, departures, transfers, parental leave comings and goings, promotions) – including generating relevant checklists and carrying out allocated responsibilities;
- preparing correspondence including employment agreements and other letters, memo’s, emails as requested by People & Culture team members;
- ensuring that all relevant payroll information is provided to Payroll;
- providing support to the People & Culture team (including the Talent Acquisition team) in relation to recruitment activities, including taking role briefs from internal stakeholders, developing position descriptions, drafting job advertisements, setting up roles in Big Red Sky (the firm’s current applicant tracking system) and other job boards, reviewing and screening applications, organising and coordinating interviews, and conducting reference checks;
- co-ordinating the firm’s work experience program;
- co-ordinating annual practising certificate and membership renewals;
- co-ordinating employee birthdays and anniversaries, including assisting with drafting anniversary communications when required;
- assisting with People & Culture processes including performance reviews and remuneration reviews;
- working with Office Managers and the Operations team to ensure the firm is equipped with first aid officers, keeping records up to date and organising the relevant training;
- assisting with planning and coordination of health and well-being initiatives;
- providing support to the other People & Culture Co-ordinator when required; and
- other ad hoc administrative tasks when required.
Skills and experienceWe would like to hear from candidates with the following skills and experience:
- tertiary qualification in Human Resources;
- 12 months experience in a similar role (ideally in professional services) preferred but not essential;
- strong attention to detail;
- client service focus (internal clients);
- excellent organisation skills;
- excellent verbal and written communication skills;
- team player;
- ability to maintain confidentiality; and
- good working knowledge of Microsoft Office programs mainly. Word, Outlook and Excel.
