And so, we’re delighted to offer the opportunity for an experienced Personal Assistant to join our ever-growing team of whisky legends at Club HQ in Hobart where you will support the business owners in leading and growing the business by providing exceptional executive and personal assistance, as well as general Club administration. You'll be highly organised and hold high levels of flexibility and adaptability, going into every task with enthusiasm and a can-do attitude - no matter how big or small!
Responsibilities
This position is responsible for:
- Providing executive assistant services to the business owners, including those related to administration, diary management, travel and appointment bookings, and the preparation of correspondence, meeting agendas and papers, and other documentation
- Providing Personal Assistant services to the business owners across diverse areas of their domestic and personal lives, where duties may include coordinating domestic services, making personal reservations, property management, and completing purchases on the owners’ behalf
- Acting as the key point of contact for all office visitors, including both internal and external stakeholders
- Providing general administrative and office support to the team and business, including the purchasing, and maintaining office equipment and supplies, coordinating team social activities, and coordinating building and equipment maintenance
- Assisting with member service and marketing support as required
- Assisting managers and their direct reports in producing high quality reports, documents and presentations using advanced computer skills
- Planning and organising events; inclusive of in-house Club events and supporting larger scale external events
- Assisting TWC to create and maintain a safe and healthy work environment by working safely and adhering to all organisational policies, procedures, standards, and practices.
Success Requirements
Essential:
- Minimum 2+ years relevant experience in a PA/Team Assistant/Administrative role
- Must have a can-do, positive attitude towards all tasks
- Excellent interpersonal and verbal and written communication skills, with a Member-first approach
- High levels of initiative, flexibility, and adaptability
- A proven ability to work in a fast paced and diverse role and business environment
- Highly organised with a proven ability to manage own time effectively and complete tasks within assigned timeframes
- A high level of proficiency in the Microsoft Office suite, particularly Word, PowerPoint, Outlook, Excel, and OneDrive
- Experience/exposure to planning and organising events
- A proven ability to work a part of a team and support a positive, productive, and supportive workplace culture
- Drivers License
- Police check / WWVP card or willing to obtain these.
Desirable:
- A love of whisky
- A passion for social media
- Customer service experience
- Bookkeeping experience.
