Applications are warmly invited for the position of Personal Assistant to the Executive Leadership team of one of Melbourne’s top independent Schools.
This is an exciting opportunity for an accomplished administrator who is committed to supporting the education of young people by supporting the Senior Leadership Team at the school.
The role:
Your role will be to provide professional secretarial and administrative support to two senior members of the College Executive. You will work closely with other staff in the Principal's Administration Team as well as the staff that report to the two Executive Leadership roles.
Major Duties and Responsibilities: (Abridged full job description available in candidate application pack):
- To act as the initial point of contact for staff.
- Involvement in project work.
- Ensure effective communication and stakeholder management in all role activities.
- Assist with the preparation of documentation and maintaining calendars for activities of the Company.
- Secretarial role including maintenance of the Board portal.
- Maintain key 3rd party compliance registrations ensuring compliance and accuracy of data entry.
- Assist with the daily management of key processes and documentation associated with: Global Learning Programs (application and review of overnight, interstate and overseas trips), College Policies and Procedures, Key government agencies, Emergency Management, Child safety, College operational matters.
- Excellent interpersonal and communication skills
- Excellent computer skills including Office 365 (Word, Excel, Outlook, Teams, Sharepoint, Powerpoint, Forms)
- Effective planning and organisational skills
- Ability and desire to take ownership of tasks
- Ability to draft professional and grammatically correct correspondence and policies
- Ability to work autonomously and be self-driven
- Demonstrated initiative and problem solving skills
- Acts professionally and maintains appropriate confidentiality
- Ability to work for more than one direct report at the same time
Essential (can be completed before start date):
- Current Working with Children card
- Degree qualification(s) of relevance
- Professional Writing qualifications
