Personal Assistant - Infant Child and Youth Program
• 2 day Permanent Part Time with the option of combining a 3 day administration position to work at Full Time capacity within the ICY program
• Frankston, gateway to the gorgeous Mornington Peninsula
Classification Grade 3 (YC90)*

What You Will Be Doing

This is a newly developed role to support the mental health leadership team including both the Program Manager and the Head of Infant Child and Youth Mental Health Services. This is an exciting opportunity for a highly skilled and experienced Personal Assistant to provide support to key members within the mental health leadership team and is a vital component to assist with the day to day functioning to ensure that the service is managed in an efficient and proficient manner. This position is 16 hour per week position and is based at Frankston but need to be available to work from other sites.

We are looking a competent and professional Personal Assistant that displays the key attributes of team work, strong customer focus, conceptual and analytical abilities, decisiveness, developing others, flexibility, resilience, self discipline and integrity.

Key responsibilities include:

• Provide comprehensive, high level assistance to support relevant senior managers within Mental Health to ensure day to day management and tasks are attended to
• Provide diary management to support senior managers including meeting conflicts and room bookings
• Preparation of agendas and minutes for meetings and associated tasks
• Ensure that senior managers are notified in advance of key priorities that are required to be attended to
• Confirmation of roster updates
• To prioritise key tasks to ensure that they are completed accurately and on time
• Liaise with Internal and External Stakeholders ensuring excellent working relationships at all times

What You Need

• Certificate IV or higher in Business (or related field)
• Ability to work autonomously, apply initiative and prioritise work within established policies and guidelines
• Ability to manage confidential and sensitive material in a professional manner
• Commitment to a collaborative and team orientated approach
• Demonstrated initiative, self-direction, innovation and ability to contribute to the development of new services
• Sound knowledge and experience using relevant computer programs including Microsoft Applications (Word, Excel, PowerPoint, Publisher, Access and Outlook)
• Excellent verbal and written skills
• Demonstrated skills in collation and reporting on evaluation tools
• Expertise in secretarial experience with up to date knowledge and skills in relevant computer programs
• Current Victorian Drivers Licence

Desirable criteria includes:
• Expert knowledge of MS office programs
• Knowledge of medical terminology
• Familiarity with the current National Safety and Quality Health Service Standards
• Previous experience in a mental health setting.
• Familiarity with the provision of the Mental Health Act

*Please refer to salary circular VICTORIAN PUBLIC MENTAL HEALTH SERVICES ENTERPRISE AGREEMENT 2021 – 2024 for salary range. Sub-grading will be based on years of experience.
