This position is for someone who thrives in a fast-paced environment. As a key player in this role, you will anticipate needs, proactively solve problems - always staying one step ahead. Your intuitive nature will enable you to understand and anticipate the preferences of the individual/team you support.
MAIN DUTIES / RESPONSIBILITIES:
- Coordinate and carry out all office administration duties including emails, greeting customers, booking in vehicles, taking phone calls and updating customers.
- Manage the calendar for both the owners’ personal commitments and company tasks/events.
- Coordinate sponsorship proposals and maintain working relationships with high profile businesses and existing sponsors.
- Quote vehicles and create detailed job sheets including uploading images in ibodyshop
- Invoice both private and insurance jobs using Xero and ibodyshop
- Liaise with our tradesmen/production manager to ensure the daily vehicle departures list runs smoothly.
- Daily social media management
- Ordering parts in a timely manner to ensure vehicle repairs can be completed within the designated timeframe.
- Ordering paint and panel consumables with our long-standing suppliers
- Maintain a clean and safe workspace.
- Other tasks as directed.
Experience:
- Minimum 3 years' experience as an Office Administrator.
- Experience in an automotive workshop is highly regarded.
Skills
- Intermediate to advanced Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
- Proficiency in Xero is desired, but training will be provided.
- Experience with ibodyshop or display willingness to learn.
- Excellent verbal and written communication.
- Able to work in a face paced environment.
- Excellent time management skills and full of energy.
- Great sense of humor and strong sense of individuality!
