About the Role
This is a role with the equivalent of 3 days per week, (parental leave for a minimum of 9 months), located in the Brisbane CBD to provide office administration, administrative support to the GWI CEO, Managing Partner and other support services to the GWI team.
Typical tasks include:
- Office management
- Greeting all office visitors and answering phone and email enquiries.
- Liaising with building management and required tradespersons
- Management of office equipment
- Maintenance of GWI registers
- Procurement of office and staff amenities
- Travel management Arranging travel bookings for all staff
- Calendar and event management
- Managing the appointments and schedules of the GWI CEO and Managing Partner.
- Coordinating calendars and scheduling of appointments for all GWI Partners
- Arranging catering and refreshments for onsite and offsite meetings.
- Management of onsite and offsite meeting room facilities
- Assisting in the management of GWI staff and client events.
- Financial and Administrative support
- Managing company mail and PO boxes.
- Clerical and data entry duties (including leave)
- Processing of credit card and entering bills into accounting software
- Assisting with Human Resource and Project Administration
- Recruitment and onboarding support
- Scheduling candidate interviews, maintaining register and interview feedback.
- Managing employee onboarding and exiting processes
About You
The following experience and qualifications would be desirable and viewed advantageously:
- Minimum 2 years in a similar role
- A certificate in business administration (or similar) is highly regarded.
- Outstanding client relationship management skills.
- Excellent organisational, time and priority management skills and ability to apply them in a fast-paced, changing environment.
- Professional presentation.
- Ability to work productively with all team members and personality types.
- Excellent skills in Microsoft Office suite including Outlook, Word and Excel.
- Good skills in SharePoint, PowerPoint
