About the role:
JS AG is seeking a versatile and proactive Personal Assistant and Administrative Coordinator to join the team. This role is pivotal in ensuring the smooth operation of a family run business, encompassing administrative duties, workplace health & safety management, bookkeeping, and process optimization. JS AG are seeking someone enthusiastic who embodies their values of excellence, possessing excellent digital literacy, strong financial acumen, and the ability to thrive under pressure. This role requires adaptability while sometimes working alongside one of the company directors who is often present with two young children. You will receive ongoing support and training where required, however, your resourcefulness, initiative and a forward-thinking approach are a must.
Responsibilities:
- Provide comprehensive administrative support to the company directors and staff, including calendar management, correspondence handling, and meeting coordination.
- Oversee workplace health & safety protocols, ensuring compliance with regulations and promoting a safe working environment.
- Manage bookkeeping tasks such as invoicing, expense tracking, and financial reporting.
- Identify opportunities for process improvement and implement solutions to enhance business efficiency.
- Troubleshoot existing methods and source better alternatives to streamline operations.
- Act as a liaison between clients, vendors, and internal stakeholders to facilitate communication and project execution.
- Demonstrate initiative and resourcefulness in managing tasks and solving problems effectively.
Requirements:
- Proven experience in administrative roles, preferably in a dynamic business environment.
- Strong digital literacy with proficiency in Microsoft Office Suite and familiarity with accounting software.
- Financial acumen and experience in bookkeeping or accounting functions.
- Ability to work well under pressure and prioritize tasks effectively.
- Driven and proactive mindset with a willingness to take initiative.
- Resourcefulness in problem-solving and ability to think outside the box.
- Comfortable working in a home office environment with occasional presence of young children.
- Excellent communication and interpersonal skills.
Hours: This is a full-time position, Monday to Friday, 9:00 am to 5:00 pm. These hours are flexible for the right candidate and can accommodate parents with school drop-off/pick-up times etc.
Flexibility is contingent upon the candidate’s ability to support the workload effectively.
Salary: Pay range is up to $40 per hour, dependent on experience.
