LexVeritas is proud to be partnering with a well-regarded mid-tier Law firm as we search for an Executive Assistant to lead a team of 3 personal assistants and to oversee all administrative support provided to the firm’s solicitors. Reporting directly to the Senior Partner of this firm, the Executive Assistant role is pivotal in ensuring the smooth and efficient day-to-day operation of the team, involving schedule and calendar management, coordination of travel itineraries and client engagement initiatives.
Your key responsibilities in this role will include:
- Proactively manage and maintain the schedules of the Senior Partner, including calendar management, appointment scheduling, and travel arrangements.
- Serve as the primary point of contact between internal and external stakeholders by managing all incoming emails and phone calls.
- Organise, coordinate and oversee all events arranged for the Brisbane office including client functions, staff meetings and special functions. Manage all invitations, arrange catering and set up of the events.
- Organise and coordinate client meetings and conferences and assist with client engagement and communication, including preparing presentations for client meetings.
- Prepare, review, and proofread legal documents and correspondence as required.
- Foster collaboration with other team members to streamline office operations and enhance overall efficiency.
- Previous experience as an Executive Assistant or Office Manager in a Law firm or similar professional services environment is highly advantageous.
- Exceptional organisational skills, a keen eye for detail, and the ability to effectively manage multiple tasks.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Technologically savvy and able to think creatively.
- Strong analytical and problem-solving skills.
- Excellent communication skills, both written and verbal.
- A proactive and adaptable attitude, combined with the ability to work both independently and collaboratively within a team.
- Strong attention to detail and ability to handle sensitive information with care and discretion.
