This role supports the Executive General Manager South East Queensland Operations by providing a high level of confidential executive diary management, operational event co-ordination, screening visitors and other typical assistance at the level of an Executive Personal Assistant.
The Executive General Manager SEQ Operations has 6 direct reports and over 3000 employees.
You will need to demonstrate resilience in a dynamic and at times intense operational environment. Drawing on your previous experience as either a high performing Executive Personal Assistant, or for example, someone who has worked in the court system or in a legal support capacity.
You will be able to demonstrate an ability to build relationships with a range of both internal and external stakeholders and be highly adept at managing matters of a confidential and sensitive nature.
Meeting deadlines and adhering to timeframes for both yourself and your manager is pertinent, therefore we require the successful candidate to have demonstrated attention to detail and show professional at all times.
This also includes:
- Managing a high-volume inbox
- Allocating and following up action items with direct leadership team and associated teams
- Be highly responsive to the Queensland Rail Board and Executive Leadership team members
- Compiling and preparing all documentation to an executive standard
- Printing all documents required for review and signature
- Creating presentations and hosting leadership operational events including room set up
- Minutes for meetings
You will also work closely with other Executive Personal Assistants in the business to meet business needs.
About you:
We are looking for a dynamic and proactive Executive Personal Assistant who will be able to demonstrate experience and capability in dealing with senior managers and demonstrate a professional and articulate communication style.
Confident in working under time-line pressures with a sense of urgency and have an understanding of time constraints, able to prioritise tasks and anticipate future requirements.
This position will suit someone who enjoys a high level of accountability, keeping on top of current issues and following up on matters where appropriate.
