- Maintain a strong, positive and reciprocal relationship with the Policy Directors, which enables an environment of trust and confidence to deliver quality services on the Directors' behalf. Support the Directors, their managers and teams with administrative and policy activities associated with their role including, but not limited to:
o Diary management, including the booking of meeting rooms and video conferencing facilities, sending invites and assist with travel and accommodation requirements for meetings;
o Updating the team's project management report using Microsoft Excel in consultation with Directors and teams, to ensure the regular reporting of progress of their projects;
o Supporting recruitment and procurement processes;
o Assisting with research, collation, review and editing of materials for reports and/or projects;
o Oversight of due dates for all relevant correspondence and periodic administration reporting that requires Director approval, in consultation with Managers, as well as with the Executive Assistant of the Executive Director above the Directors;
o Execution of purchasing and administrative duties;
o Monitor establishment and leave reports, completing and/or checking resourcing requests for Director approval, and liaising with OIR Human Resources to ensure they are completed.
- Competently act on your own initiative within established policies and guidelines to ensure optimum service delivery and quality improvement.
- Develop and maintain positive relationships with a range of stakeholders (both internal and external) to manage and resolve issues.
- Considering the above responsibilities, strike the correct balance between matters which require escalation to Directors and those that can be handled directly.
- Deal professionally with sensitive and confidential issues that arise.
