The Opportunity
Our client is seeking an experienced Portfolio Facilities Manager to manage their leased portfolio of commercial and warehouse sites across Australia. You will be responsible for helping motivate, manage and built a team of coordinators, be involved with the implementation and manage policy and procedural reviews and the onboarding of a new CMMS system.
Key Responsibilities
You will be responsible for managing property related facilities maintenance services that supports the Group’s strategic and operational objectives. A key focus is on service delivery, driving efficiencies, reducing cost, OHS management and mitigating risk.
- Team leadership of a team of facilities coordinators, with proactive management of and development of Team members, promoting a professional, high-functioning, and collaborative culture.
- Complex stakeholder management between internal business units, senior management and external stakeholders and landlords and managing expectations.
- Reviewing and assisting in the implementation of the ServiceNow CMMS system, liaising with business support units regarding functionality, streamlining and transition from existing platforms and work order systems.
- Managing service reviews/ retendering of vendors, working alongside the General Manager. Ensuring all contractor and vendor compliance, performance evaluation and SLA management.
- Reviewing and overseeing all Workplace Health and Safety governance and compliance to meet best industry standards.
- Liaising with landlord representatives regarding base-building and tenancy maintenance requirements
- Managing and assisting in the development of Opex budgets across each site, developing Capex initiatives and forecasts, regular financial reviews and reporting
- Planning, managing and executing on projects including decommissioning of sites, site mobilisation, re-positioning and minor works projects.

- Prior demonstrated experience of acting as a Portfolio Facilities Manager across a national or state with proven ability to resolve issues and problems remotely.
- Experience in the property/facilities sector with a tertiary or trade qualification in a relevant discipline. A technical aptitude is preferred.
- Experience with change management and implementation of new software systems, policy review and industry best standards.
- A people leader who can empower staff and set clear guidelines and create high performance.
- Superior communication skills to work across and organisation as well as with internal/external stakeholders.
- An energetic, resilient and dynamic personality who gets things done.
- Knowledge of leases, and differentiation between landlord and tenancy facilities management requirements, and ability to effectively.
- Strong financial acumen with experience managing and developing budgets, P and L management and invoice reconciliation and accrual.
- A willingness to perform site audits, inspections and travel and stay overnight interstate on occasion.
