About Portfolio Operations
  
The Portfolio Operations team delivers full trading, corporate actions and income reporting to accurately reflect Capital Gains and Income Tax liabilities for our customers. Cutting edge technology is used to identify, review, and deliver corporate actions to advisers to enable them to make informed decisions on behalf of their clients.
  
Portfolio Operations is a complex and a high growth business.  Over time you will need to learn all aspects of the business, with tasks and responsibilities being rotated as required in order to address business demand.
  
As part of this dynamic, high-performing team you will be expected to become a highly productive team member, ensuring quality delivery of customer focused solutions within strict service levels. Part of your responsibility will be identifying and implementing continuous improvement initiatives and productivity enhancements, whilst always displaying a high level of risk awareness.
  

Key responsibilities
  
As a Portfolio Representative you will provide a superior administration service to Portfolio clients and ensure all responsibilities are completed according to procedures and within service standards. Key responsibilities include the following:

  • Timely and accurate execution of client instructions
  • Monitoring and sourcing of corporate actions announcements
  • Reconciliation of corporate action and income entitlements and resulting stock and cash movements
  • Responsibility for processing capital gains and income tax data to client portfolios in line with correct tax treatment
  • Reconciliation of client cash and holdings positions, including the investigation and correction of data flow issues and reporting on aged items
  • Liaising with clients and other external parties such as Banks, Share Registries and Company Secretaries as required to resolve assigned and escalated queries
  • Identify and progress business process improvements
  • Facilitate the documentation of new and existing procedures
  • Be alert for any impediments to the accurate and/or timely execution of the above functions and to draw these to the attention of Operations team management
 
Skills and experience
  
We’re looking for someone who can deliver high performance to the business. Essential to the role:
  • Sound experience in an administration role preferably within the Financial Services Industry, with proven capability in handling a high-volume workload in a varying and complex environment
  • Risk Mindset –All employees are expected to proactively identify, understand, openly discuss and act on current and future risks
  • Computer literacy, Microsoft applications
  • Good planning and organising skills with the ability to work to deadlines
  • Attention to detail
  • Ability to work both in a team and independently 
  • Excellent interpersonal and communication skills
  • Demonstrated customer service experience
  
Not essential but desirable
  • Prior experience in a Corporate Actions role will be highly regarded
  • Degree or Diploma qualified in a Financial Discipline preferred
