About This Opportunity
We are seeking an energetic Postgraduate Student Liaison and Timetabling Officer in the School of Business to provide high quality customer service through the delivery of friendly, helpful, accurate, and informative advice and services to students, professional and academic staff. This position is responsible for completing a diverse range of administrative processing tasks and associated day-to-day problem resolution and maintenance of administrative systems.
The responsibilities required to fulfil the role include, but are not limited to:
Postgraduate Student Liaison Officer
- Act as a key connection point for postgraduate students (current and prospective), providing a contact point for all enquires (including application management and postgraduate advisory services) and provide proactive and timely support by working with other members/units of staff and engaging support services as required.
- Assess and process applications in a timely manner, liaising with relevant stakeholders (Associate Dean Academic, Program Leaders and UQ International) to ensure efficiency, and manage credit/exemption applications in databases and relevant UQ Systems.
- Conduct appointments with and provide advice to students who receive a progression alert and/or progression intervention notice and record the details on SI-net.
- Assess students for graduation and liaise with relevant sections.
- Maintain applications, accurate student data, and process relevant changes in UQ systems.
- Attend and participate in marketing events such as TSXPO, UQ Open Day and postgraduate careers fair.
- Assist with the organisation of and conduction of academic orientation sessions for students at commencement of semesters one and two (including any school specific cohort intakes) and postgraduate related events.
- Assist in the development, updating and implementation of the School’s student administration procedures on an on-going basis in consultation with the Assistant Student Administration Manager.
Timetabling Officer
- In consultation with the Student Administration Manager, Timetable Services and relevant academic staff, generate the School’s timetable (including Summer Semester).
- Liaise with key stakeholders, including course coordinators, to understand resource requirements for timetabled activities.
- Enter and process data in relevant systems in-line with timetable data entry, and class allocation processes and procedures.
- Provision of advice to the BEL Faculty on courses to be offered, course details and teaching schedule.
- Enter ad hoc booking requests via UQ Book It.
- Undertake other duties as directed by the Student Administration Manager and Head of School

About You
- A Bachelor degree in a relevant area or an equivalent combination of relevant experience and/or education/training.
- A minimum of two years’ administration experience, preferably within student administration within the tertiary sector.
- A broad knowledge of University policy and procedures, particularly in relation to student matters and/or timetabling, or an ability to rapidly source such knowledge.
- Knowledge of University student computer systems e.g. SI-net, Syllabus Plus, Allocate+ (MyTimetable) and UQ Reportal, or the ability to rapidly gain such knowledge
- Well-developed skills in the use of computer packages for word processing, data storage and retrieval, email, spreadsheets, World Wide Web and other administrative activities.
- A strong orientation to the provision of a high level of customer service.
- An empathy and ability to communicate to students, including those with disabilities and for diverse cultural backgrounds.
- High level written and effective interpersonal and oral communication skills.
What We Can Offer
This is a Full-time Fixed-term position through to 31 December 2023 at HEW 5.
The full-time equivalent base salary will be in the range $72,212.51 - $80,430.02 plus super of up to 17%. The total FTE package will be in the range of $84,488.64- $94,103.12 per annum.
