We seek a dedicated, enthusiastic, and professional administrator to join our team in October.

Job Description:

As our administrator, you will play a pivotal role in ensuring the seamless operation of our practice. This position balances business-focused responsibilities with a strong commitment to client care and maintaining our high service delivery standards.

This role will offer part-time hours with flexible working arrangements available for the right candidate. Our preference will be for the administrator to work approximately 4 hours per day on Monday – Friday. 

This is a great opportunity for someone undertaking current studies in psychology who would benefit from the experience of working in a well-functioning and highly professional practice. All applicants with suitable experience from any allied health or medical setting are welcome and encouraged to apply.

Tasks and Responsibilities: 

  • Meeting and greeting clients in a friendly, warm and professional manner.
  • Completion of administrative tasks including responding to emails, phone calls, voicemails and faxes promptly and professionally.
  • Management of our psychologist’s diaries to facilitate efficient scheduling and operation of the practice. This will include accurately entering client information to create new client files, scheduling/rescheduling client appointments and triaging and booking new clients. 
  • Management of client accounts including processing payments and rebates, receipting accounts and reporting as required.
  • Ensure compliance with Medicare and NDIS requirements through accurate reporting.
  • General ad hoc administration duties as requested by the practice directors. 

Required Skills and Experience:

  • A minimum of 2 years experience in a similar administrative role within a psychology or health care setting. Experience managing multiple practitioners and locations is preferred.
  • Understanding of NDIS and Medicare requirements for psychologists.
  • Excellent organisational and time-management skills, with the ability to multitask and prioritise effectively while maintaining strong attention to detail. 
  • Proficiency in Microsoft Office Suite and practice management software (previous experience using our practice management software, Halaxy is not essential as training tailored to our specific practice will be provided).
  • Ability to handle sensitive information with discretion and professionalism. 
  • Strong interpersonal and communication skills with a friendly and warm personality. 
  • Strong sense of drive and ability to work independently when required.

Preferred:

  • Knowledge of third-party funding (i.e., VOCAT, WorkSafe and TAC)
  • Studying or interested in psychology (undergraduate psychology students are welcome to apply).
  • A sense of humour is always welcome and appreciated!
