THE ROLE
Reporting to the Head of Production and Ethical Sourcing, this role is critical in the support of the Cargo Crew production supply chain.
The Production Assistant works exceptionally well with the broader business, can express and demonstrate a passion for production, consistent quality and delivery management.
KEY RESPONSIBILITIES:
Responsibilities include, but are not limited to:
Raising, Managing and Tracking POs with suppliers, including:
- Arrange target intake vessel dates, manage cut-off dates with suppliers to raise POs
- Raise the purchase order into Netsuite (ERP software system for procurement) and update the production schedule
- Track, coordinate and manage production critical path. Check weekly the Work In Progress (WIP) tracker with supplier and raise concerns with the Production Manager and Planning team
- Update and communicate changes of POs to all key stakeholders, ensuring accuracy and management of updates both internally and externally
- Ensure shipping samples are sent on time from overseas and inform Production Team when they arrive
- Liaise with freight forwarders to understand shipping timings and costs
- Arrange freight quotes (sea and air) and recommend cost savings and shipping consolidations with suppliers and forwarder
- Ensure all shipping related documents are accurately completed and submitted (including having appropriate accreditation and clearances),
- Assist with reconciliation of PO matching between suppliers and Accounts Team
- Manage tracking of supplier invoices and payment schedule, forwarding payment receipts and checking off on paid invoices
- Communicate to Warehouse with respect to receipting deliveries and providing documentation
- Send parcels via DHL and provide DHL custom paperwork to the team.
SKU creation and management, including:
- Inventory, third party, custom and local production product information
- Barcode allocation and management
- Ensure style creation is timely and accurate.
Updating and maintaining the accuracy of NetSuite and our records relating to:
- PO delivery dates and information
- Pricing (both cost and sell prices)
- Product hierarchy and attribute information
DOES THIS SOUND LIKE YOU?
- Preferably 1-2 years’ experience in Production and/or logistics administration
- Ability to multitask and work in a fast paced/reactive environment
- Highly organised with a strong attention to detail and commitment to accuracy
- Proficient in managing and maintaining data in Excel and other systems (Cargo Crew uses the ERP Netsuite)
- A desire to work in an innovative and growing organisation and team, and to play a part in shaping the production of products in a quickly expanding business
- Can demonstrate skills in communication (both written & oral) and successfully manage time and workload
