Production Assistant

Who Are We: 

We are an Adelaide based fashion house that began nearly 10 years ago with the now globally recognised brand ‘Acler’. Acler is a female founded and led business that at its heart, celebrates quality textiles, masterful craftsmanship and accessible luxury pieces. From the success of Acler grew our second brand ‘Significant Other’. Significant Other is a pioneering force for artisanal luxury and resort-wear, a renowned presence in the Australian and international markets. Both brands have expanded rapidly, with an ever-growing list of major retailers across the US, EU, UK and Middle East.

Scope of Role:

The Production Assistant will support the Producer to plan and implement 30+ Photo and Content Shoots across the year. We are looking for a highly organized Production Assistant to ensure projects are delivered on-time, on-budget and are of the highest quality.

Duties Include:

Production of Photoshoots (eComm, Content, Campaign) 

  • Plan out all tools necessary for photo shoot to run smoothly and safely, under the direction of the Producer. You will need to manage inventory, hire equipment, prepare various kits, pack suitcases and create records of all garment samples required for shooting and procedures. (eComm, Content, Campaign shoots).
  • Support Producer with preparing photo shoot day schedule and timings to deliver all objectives within a set timeline. Put together call and run sheets detailing all timings, set and prop changes, stakeholders, contact details, sample arrivals; determining staff and time requirements for the photoshoots to be a success.
  • All travel bookings will be managed by this role. This can be flights for a model or managing return flights, hotels, car hire bookings for various team members and suppliers located in various cities within Australia/Internationally.
  • You will need to manage accessory and prop research, purchases and borrowing requests for all shoots. This includes ordering, preparing styling goods for outfitting, returning goods. Managing payment, return forms, transport and communicating with brands we collaborate with. This includes trend analysis, researching latest shoes and accessories that suit both brands.
  • Lead the re-shoots process. Preparing samples, checking shippers and stock arrivals, handing samples to relevant department post-shoot period. Returning shippers & sales orders. 
  • Support Creative Production team with eComm image delivery: naming and archiving image files in order of drops and image resolution. 
  • Support creative production team with post-production / post-PO briefs to external creatives. Working with eComm and Wholesale buy documents to create documents which clearly indicate which items need additional assets for launch.
  • Support team as needed with seasonal roll out of collection, across both stages of collection release 1. Wholesale and 2. eComm launch. 

Timelines & Company Communication

  • Support the Producer to maintain the 12 Month Photoshoot Calender, Company Calender and project timelines for both brands.
  • You will be required to build close relations with Wholesale, Marketing, Ecom and Design team members to organise shoot samples and to ensure assets are delivered on time. 

Source & Hire Talent

  • Liaison with suppliers and contractors including photographers, videographers, studio managers, HMU artists, model agents, creative agents, transport, and trades persons. Support Producer with bookings, schedules, payments, organisational communications with regards to suppliers noted above.
  • Props development or sourcing; Based on concept you will need to source or create prop elements to complement photoshoots. This might entail creating spec documents, managing quotes, consulting with different businesses and/or building props from scratch.

Budget Management

  • Support the Producer to reconcile project budgets by receipting creative supplier invoices and gaining Producer approval to submit to accounts team for payment, simultaneously updating the Budget Tracker. 
     

Other Brand Activations

  • As required, support our PR & Communications teams on administration and coordination tasks for external brand events, including booking locations, coordinating bump in and out logistics, call sheets and risk assessments.
  • As required, support our Wholesale team with the coordination of activations with our local stockists (i.e. Window VM, gift with purchase), where you will be responsible for budgeting, concepts and coordination of suppliers and bump in and out.

Requirements:

  • 1-2 years experience in creative production
  • Photo shoot experience desirable
  • Interest in fashion industry desirable
  • Highly organised with excellent attention to detail
  • Effective time management, with the ability to work under pressure to meet very firm and tight  deadlines
  • Proactive and can hustle working across a number of photoshoot projects at one time
  • Able to work at a fast pace, with a flexible attitude to pivot quickly 
  • A team player with strong interpersonal skills
  • Demonstrated ability to problem solve
  • Microsoft Office suite proficient. Adobe & Project Management desirable
  • Able to accommodate flexible work hours

Salary and Contract:

  • Competitive entry level salary
  • 12 Month Contract
  • Full Time
